Office Manager

A financial services firm is seeking a polished and proactive Office Manager to join its NYC office. This position will serve as a key point of contact at reception for visitors, employees, and external stakeholders, while also providing administrative support to a team of senior professionals.

This is an excellent opportunity for someone who enjoys balancing front-facing office responsibilities with executive support in a fast-paced and collaborative financial services environment.

Fully onsite in Manhattan

Hours are 8:30 am 5:30pm

Salary range: $80-100K base

Responsibilities

Reception & Office Coordination

  • Greet and welcome visitors in a professional and courteous manner
  • Serve as one of the primary front desk contacts for the office
  • Coordinate meeting room scheduling, setup, and breakdown
  • Maintain tidy and organized reception, pantry, and common areas
  • Perform daily walkthroughs to ensure office spaces remain presentable and fully stoccked
  • Support pantry upkeep, including coffee setup, dishwasher loading/unloading, and supply organization
  • Answer and route incoming phone calls
  • Manage incoming and outgoing mail, packages, and deliveries
  • Assist with planning internal events and office gatherings

Administrative Support

  • Provide administrative support to a small group of senior executives
  • Manage complex calendars and scheduling across multiple stakeholders
  • Coordinate meetings and respond to scheduling requests in a timely manner
  • Serve as a liaison with internal teams and external contacts
  • Assist with travel coordination, including flights, hotels, and itineraries
  • Prepare and process expense reports
  • Support document preparation and electronic signature workflows
  • Maintain tracking spreadsheets and administrative records
  • Assist with ad hoc projects and operational support as needed

Team Collaboration

  • Partner closely with another Office & Administrative Coordinator to ensure seamless office coverage and support
  • Crosstrain and provide backup support for front desk and administrative responsibilities when needed

Requirements

  • 5+ years of experience in a office coordinator, administrative assistant, or similar role
  • Prior experience supporting multiple executives or a team is required
  • Financial services experience strongly prefreer
  • Professional, polished, and client-service oriented demeanor
  • Excellent written and verbal communication skills
  • Ability to multitask and remain calm in a fast-paced environment
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, and Power Point
  • Associates or bachelors degree preferred
