The Advertising Traffic Administrator acts as a key liaison between internal departments and the advertising agency to ensure the timeliness and delivery of multiple creative projects for the Seneca Gaming Corporation. This self-motivating position requires incumbents to research, coordinate, schedule and follow-up with various parties in order to successfully determine and meet project deadlines while ensuring that brand and quality standards are met. The Traffic Administrator is also responsible for compiling project dockets and involves supporting the monthly billing process to track expenses. All duties are to be performed within the guidelines of the Seneca Gaming Corporation’s policies and procedures, Internal Control Standards and objectives. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: 1. Responsible for opening new jobs with the advertising agency and internal design team, including writing creative briefs, supplying vendor information and referencing prior creative projects when applicable. 2. Communicate with all property departments and internal clients as needed for all marketing/advertising needs. 3. Create and manage a traffic report outlining all projects that have been requested and report to the Advertising Manager on a daily basis to provide an update on all job status. 4. Ensure all ads and creative collateral is approved by all necessary departments/individuals, including Executive Director of Advertising, in accordance with Seneca Gaming guidelines prior to releasing them for publication/airing/display. 5. Create and manage project request forms, approval forms, job jackets, and project timelines for all advertising projects assigned. 6. Attend marketing and internal client meetings for all properties to report on work status and obtain input for future projects. 7. Work closely with purchasing department to ensure a seamless process in the selection process of vendors and for reviewing print production proofs and meeting production timelines. 8. Monitor and coordinate vendor activities from inception to completion including advertising agency(s), media, artists, printer(s), sign maker(s), and directing & composing scheduling of all media types, etc. 9. Oversee media insertion due dates with agency and vendors for print, radio and billboard creative placement. 10. Reconcile bills with insertion/job orders as they come in. Submit correct bills and code for payment to departmental billing specialist. Track & maintain renewals for all media related contracts. 11. Responsible for entering items into the MMS system as required. 12. Maintain department and administrative records and files. 13. Maintain a cataloged library of all Seneca Gaming Corporation and all competitor advertising, media and publicity. 14. Maintain a current understanding of all policy and guidelines regarding information security including the Seneca Gaming Corporation Acceptable Use Policy. Understand and comply with all information security policies and procedures at all times. 15. Provide exceptional customer service to all patrons and communicate in a pleasant, friendly and professional manner at all times. Maintain a professional work environment with supervisors, managers and staff. 16. Meet the attendance guidelines of the job and adhere to regulatory, departmental and company policies. 17. Must complete all required SGC Training programs within nine (9) months from commencement of employment. 18. Attend all necessary meetings. 19. Duties, responsibilities, requirements and expectations pertaining to this job are subject to change as needed. Hours are determined by a 24-hour schedule. QUALIFICATIONS/REQUIREMENTS: Education/Experience: 1. Must be 21 years of age or older upon employment. 2. Bachelor’s degree in Advertising, Marketing, Communications, Business or other related field is required. 3. Two (2) to three (3) years’ experience in Advertising; client or agency experience is preferred. 4. High level procedural and organizational skills. 5. Previous Trafficking or Production experience preferred. 6. Must possess and maintain a valid driver’s license and be able to substantiate a safe driving record within the parameters acceptable to our liability insurance carrier. 7. Must have proficient computer skills in Microsoft Word and Excel. Language Skills and Reasoning Ability: 1. Must be extremely detail oriented and possess excellent verbal and written communication skills. 2. Must possess exceptional multi-tasking capabilities. 3. Ability to write routine correspondence and to speak effectively to the public, employees and customers. 4. Ability to define problems, collect data, establish facts and draw valid conclusions. 5. Must have the ability to deal effectively and interact well with the customers and employees. 6. Must have the ability to resolve problems/conflicts in a diplomatic and tactful manner. When on the casino floor, the noise levels increase to loud. Must be able to work in an environment where smoking is permitted. 1. Adequate manual dexterity to operate office equipment. 2. Light lifting. 3. Occasional travel. 4. Must be able to effectively understand and communicate to candidates and employees. 5. Must be able to stand, walk, and move through all areas of the casino. 6. Maintain physical stamina and proper mental attitude to work under pressure in a fast-paced, casino environment and effectively deal with customers, management, employees, and members of the business community in all situations. Salary Starting Rate: $17.92 Compensation is negotiable based on experience and education. Each position has varying minimum qualifications.
