Aesthetic Medical Assistant

The Aesthetic Medical Assistant plays an essential role in delivering the high level of personalized care and attention expected at Refresh Your Beauty®. This position works closely with the physician and other medical providers to support aesthetic treatments while ensuring each patient receives a professional, welcoming, and elevated experience.

Responsibilities include:

• Greet patients warmly and help provide an exceptional patient experience from arrival through completion of their visit.
• Assist the physician and licensed medical providers with injectable and aesthetic procedures.
• Prepare treatment rooms, patients, supplies, and equipment for scheduled procedures.
• Assist with the preparation of neurotoxins, dermal fillers, and other treatment materials as directed by the medical provider and within the permitted scope of practice.
• Prepare patients for procedures, including cleansing treatment areas, applying topical numbing agents when directed, and completing appropriate pre-treatment preparation.
• Take consistent, high-quality before-and-after photographs and properly upload them to the correct patient's medical record.
• Ensure all required informed consents are completed and current before treatments are performed.
• Create and maintain accurate patient medical records, ensuring treatment plans, products used, treatment details, medications, allergies, and other relevant information are properly documented in the EMR.
• Review the upcoming schedule and ensure patients are booked appropriately and that necessary records, photographs, consents, and treatment information are available before appointments.
• Maintain treatment rooms in a clean, organized, fully stocked, and professional condition.
• Clean and disinfect treatment surfaces, equipment, and reusable items according to established infection-control and safety protocols.
• Monitor medical and treatment supplies and communicate inventory needs before items run low.
• Provide patients with appropriate pre- and post-treatment instructions and educational materials as directed by the provider.
• Reinforce customized treatment plans and help patients understand physician-recommended medical-grade skincare and home-care routines.
• Educate patients about complementary services that may support their aesthetic goals, including skincare, laser, and injectable treatments, and coordinate consultations with other providers when appropriate.
• Conduct patient follow-up calls as directed, document communications in the patient's medical record, and promptly communicate questions, concerns, or unexpected treatment responses to the appropriate medical provider.
• Assist with patient checkout when needed and coordinate with the Front Desk team to maintain an efficient patient flow.
• Help verify applicable manufacturer rewards, practice promotions, and patient benefits before checkout.
• Maintain an efficient workflow between treatment rooms and anticipate the needs of the physician and other providers throughout the clinical schedule.
• Develop professional relationships with patients built on trust, discretion, empathy, and excellent service.
• Maintain strict patient confidentiality and comply with all applicable privacy and practice policies.
• Complete and close patient charts accurately and promptly on a daily basis.
• Work collaboratively with physicians, providers, and administrative staff to maintain the standards of Refresh Your Beauty®.
• Perform other reasonable duties related to the Medical Assistant position as assigned by the physician or Practice Manager.

The ideal candidate is self-motivated, highly reliable, organized, detail-oriented, professional, and comfortable working in a fast-paced aesthetic medical environment .
