Job Summary

We are looking for a detail-oriented Accounting Specialist to manage our day-to-day financial operations. You will handle customer order entry, track incoming revenues through accounts receivable, and oversee vendor payments through accounts payable to ensure accuracy and steady cash flow. We will be switching to Netsuite software in the next 3 months. Netsuite experience is important.

Key Responsibilities

Order Entry & Billing

• Process Sales Orders: Accurately enter incoming customer orders, sales quotes, and purchase details into the accounting or ERP system.
• Verify Pricing & Terms: Cross-reference orders with pricing sheets, freight rules, and customer contracts before approval.
• Generate Invoices: Create and distribute customer invoices, sales receipts, and milestone billings in a timely manner.

Accounts Receivable (AR)

• Apply Payments: Record daily customer payments received via check, ACH, wire transfer, credit card, or payment gateways.
• Reconcile Accounts: Match cash receipts to open invoices and investigate unapplied cash or short-pays.
• Manage Collections: Monitor AR aging reports, follow up on overdue customer balances, and resolve billing disputes.

Accounts Payable (AP)

• Process Vendor Invoices: Review incoming bills, verify proper coding and authorization, and match them with purchase orders and receiving documents. [1, 2]
• Reconcile Vendor Statements: Reconcile vendor accounts monthly and resolve discrepancies or missing invoice issues.

General Accounting & Compliance

• Record Maintenance: Keep financial files, historical records, and audit trails organized and secure.
• Internal Controls: Follow company policies and GAAP/internal control guidelines to safeguard financial data
