Wealth Management Associate

The Opportunity: As a Wealth Management Associate, you will be relied on to provide a high-quality experience for clients and the Financial Advisor. You will assist in managing client accounts from onboarding through maintenance, money movement, and ongoing support, handling requests accurately, efficiently, and in compliance with industry standards. Working closely with a Financial Advisor, custodians, and clients, you will coordinate account activity, resolve issues, and support distributions and estate-related requests. This hands-on role suits a detail-oriented professional who takes ownership, works collaboratively, and is dedicated to exceptional client service.

Key Responsibilities:

• Serve as the primary point of contact for clients by answering incoming calls, identifying and triaging client needs, addressing routine inquiries, and communicating relevant information to the Financial Advisor.
• Coordinate client meetings, support meeting preparation and follow-up, including gathering client information, preparing paperwork, and organizing relevant financial documents.
• Support the financial planning process by gathering and organizing client financial data, assisting with analysis and plan prep with the Financial Advisor.
• Facilitate the onboarding of investment clients by coordinating the account-opening process from start to finish, collecting required documentation, and communicating with clients, the broker-dealer, and other relevant parties to ensure accurate and timely account setup.
• Process routine client account requests, including name and address changes, beneficiary updates, bank authorizations, and settling estates.
• Process and send quarterly reporting to clients.
• Process money movement requests and asset transfers as directed, including deposits, rollovers, withdrawals, and internal transfers, while adhering to regulatory requirements and internal policies and utilizing platforms such as Pershing NetX360.
• Coordinate annuity and traditional life insurance applications and ongoing service requests, including preparation, submission, and follow-up on required paperwork.
• Maintain accurate and up-to-date client information and documentation in broker dealer systems in addition to Redtail CRM.
• Assist with Required Minimum Distributions (RMDs) and Qualified Charitable Distributions (QCDs), including coordination, documentation, and follow-up.
• Communicate with custodians, broker-dealers, product sponsors, insurance companies, and other service providers to obtain documentation, resolve inquiries, and facilitate client requests on behalf of the client and Financial Advisor.
• Assist with preparing compliance reports
• Coordinate client appreciation efforts, including the procurement and delivery of gifts, cards, and flowers to recognize milestones and significant life events.
• Perform other duties as assigned.

Qualifications:

• Minimum of 2 years of client service, operations, or administrative experience in wealth management
• Familiarity with Pershing (NetX360), Redtail, Envestnet/Albridge, eMoney, Right Capital preferred
• Ability to work independently with a high degree of self-direction and adaptability, proactively managing multiple tasks and promptly addressing client needs.
• Excellent organizational and problem-solving skills, with exceptional attention to detail and follow-through.
• Proficiency in computer applications such as Adobe Acrobat Pro and Microsoft Office Suite (Windows, Word, Excel, PowerPoint).
• Strong work ethic, punctuality, dependability, and professionalism
