POSITION SUMMARY

The Credential Programs Assistant provides administrative, programmatic, and student support for the School of Education's California Teaching Credential Programs, including ITEP, as well as the Teacher Advancement Program (TAP). This position supports credential-related processes, student records, advising, student teaching placements, program data, and reporting while assisting students in navigating credential and program requirements. The position directly supports the Credential Analyst/Student Teaching Coordinator and works collaboratively with the Assistant Director for Graduate Programs in Education, faculty, staff, school districts, and other external partners. The Credential Programs Assistant also provides administrative coordination for TAP, including student registration, program operations, financial tracking, curriculum administration, and external communication. This position reports to the Dean of the School of Education.

POSITION DUTIES

Credential Program Support Maintain accurate student credential records, including reviewing, evaluating, processing, and updating credential-related information and documentation. Assist credential students with academic advising, registration, financial registration, and questions regarding program and credential requirements. Support credential audits by reviewing student progress and updating records as program requirements are completed. Assist with transcript analysis to identify course equivalencies and requirements related to teacher certification. Assist with the processing and review of applications for credentials, authorizations, and certificates. Prepare credential recommendations and supporting documentation for submission to the California Commission on Teacher Credentialing (CTC). Respond to student inquiries regarding credential and licensure requirements and prepare verification letters related to employment, enrollment, and program status. Support the student teaching placement process, including communication with credential candidates, school district representatives, and mentor teachers. Collaborate with faculty and campus departments to monitor and communicate student progress toward program and credential requirements. Coordinate credential program data collection, including exit surveys, STEP forms, and other required program documentation. Assist with gathering, maintaining, and preparing data for CTC, federal Title II, and other required reporting. Communicate with County Offices of Education, school districts, and other external organizations regarding credential requirements, memoranda of understanding, employment verification, and related matters. Assist with tracking prospective students and processing approved program or credential changes. Teacher Advancement Program (TAP) Support Coordinate the day-to-day administrative operations of the Teacher Advancement Program in alignment with established program goals, policies, and procedures. Support implementation of the TAP strategic plan, including program objectives, processes, data collection, and reporting. Coordinate TAP student admissions and registration processes in collaboration with the Registrar's Office and assist with resolving registration-related issues. Track TAP revenue and expenses and assist with budget preparation, reconciliation, and financial reporting. Serve as a resource for participating school districts by providing program information and responding to questions regarding TAP processes and requirements. Collaborate with campus departments, including IT, Business Services, and the Registrar's Office, to support TAP systems and operational needs. Coordinate TAP course and instructor information and assist with the review and processing of new courses and instructors. Maintain accurate TAP program records, course information, website content, and program materials. Support TAP outreach and promotion and maintain positive relationships with participating school districts and community partners. Represent TAP and the School of Education in appropriate university and external meetings or events. Perform other duties as assigned.

SKILLS & QUALIFICATIONS

Required Bachelor's degree in Education, Business Administration, or a related field. One year of administrative, customer service, student support, or related experience. Strong organizational skills with the ability to manage multiple priorities, deadlines, records, and administrative processes accurately. Strong written and verbal communication skills. Ability to communicate effectively and professionally with students, faculty, staff, school districts, and external organizations. Strong attention to detail and ability to review and maintain accurate student, program, and credential records. Ability to interpret and apply established policies, procedures, and program requirements. Demonstrated ability to exercise sound judgment, discretion, tact, and resourcefulness when addressing student and program needs. Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint, with the ability to learn additional university systems and software. Ability to collect, organize, analyze, and prepare program data for reporting purposes. Ability to work collaboratively with multiple departments and external partners. Ability to handle confidential and sensitive student information appropriately. Preferred Experience supporting credentialing processes within a college, university, school district, or other educational setting. Knowledge of California Commission on Teacher Credentialing (CTC) requirements and processes. Experience with teacher preparation, teacher advancement, professional development, or similar education programs. Familiarity with federal Title II reporting requirements. Experience with student information systems, credential databases, or other education-related data management systems. Experience coordinating programs or projects from planning through implementation and evaluation. Experience with budget tracking, reconciliation, or other financial administration. Experience working directly with school districts, County Offices of Education, or other education partners.

SALARY

This is a non-exempt, full-time (32hrs per week), benefit-eligible position. Expected Pay Range: $25.00 - $27.00 per hour. Placement within the salary range is commensurate upon education and experience. Posted salary range reflects anticipated hiring scale for the position.
