Assistant Property Manager

Position Summary The Assistant Property Manager assists the Property Manager with managing a property or group of properties, fulfilling obligations under the management agreement, and supporting budgeting, reporting, tenant billing, lease administration, vendor supervision, and day‑to‑day operations. Essential Job Functions Assist with activities associated with a property or group of properties. Assist with all lease administration duties. Supervise vendors and maintenance staff. Perform regular property inspections and complete inspection reports. Recommend alterations, maintenance, and reconditioning as necessary. Assist with the development and controlling of operating and capital budgets. Assist in the preparation of monthly reports for owners. Coordinate tenant improvement and capital projects with the Property Manager. Respond to tenant needs, ensuring that administrative and building technical staff resolve problems promptly. Ensure services are provided in compliance with policies, procedures, regulations and contractual obligations. Represent and communicate the authority of the Property Manager based on legal agreements and TW policies. Initiate and execute day‑to‑day operational procedures. Contract and administer all necessary services to maintain and enhance property value and appearance. Prepare service and construction agreements, including work authorizations, addendums and contract approval forms. Track and maintain Energy Star benchmarking data. Conduct tenant training meetings to improve building efficiencies. Maintain ongoing tenant contact/relations program to assess needs and resolve issues to tenant and owner satisfaction. Resolve problems to the mutual benefit of tenant and owner. Implement and monitor tenant needs assessments. Administer all leases to ensure compliance with provisions and agreements. Execute escalations, reconciliations, and rent collections in a timely manner. Maintain current certificates of insurance for all tenants and ensure coverage complies with lease requirements. Show space to prospective tenants (requires real estate license where required by state). Communicate with project accounting personnel and provide appropriate documentation. Prepare monthly ownership reporting, including variance reports, executive summaries, and aging reports. Manage day‑to‑day financial transactions, including accounts receivable, accounts payable, rent collection, and charges. Maintain compliance with all TW personnel policies and procedures. Perform miscellaneous duties or projects as assigned by the Property Manager. Position Requirements Bachelor’s degree in Business Management, Finance, Accounting, or a Human Resource Management related discipline. RPA or CPM designation in progress preferred. Real Estate License where required by state law. Minimum 3 years of property management experience, preferably in commercial / Class A Office management. Intermediate to advanced proficiency in MS365 Word, Excel, and Outlook. Proficiency in accounting software such as MRI, Yard, or CTI preferred. Ability to keep information strictly confidential. Strong desire to succeed in an entrepreneurial environment. Capability to handle multiple projects, changing priorities, and a continually heavy workload. Exceptional oral and written communication skills. Strong customer service orientation. Greater Houston, TX area. Relocation assistance for this position will NOT be offered. Work Shift & Location First Shift (United States of America). Houston, TX. This is an on‑site role; remote or hybrid options are not available.
