Director of Sales and Marketing Ops

The primary role of the Sales & Marketing Operations Director at Spherix Global Insights is to lead the strategy, processes, technology, performance, and analytics of the company's sales and marketing departments to boost revenue and increase team efficiency. This role will have equal ownership of the marketing technology stack (e.g., HubSpot Marketing Hub, GA4, GSC, Hotjar) alongside the sales CRM and pipeline systems. This role will ensure seamless collaboration across revenue-producing departments and contribute to the success of sales and marketing initiatives by standardizing workflows and processes, accurately forecasting performance, and analyzing data to inform leadership.
Key Responsibilities
CRM & System Strategy
Oversee the implementation, configuration, and daily operation of CRM systems (e.g., HubSpot) to align with business objectives.
Provide training and support to team members on CRM usage and best practices.
Evaluate CRM capabilities, configuration, and integrations periodically to ensure maximum visibility into sales activity.
Collaborate with Finance, Sales, and Marketing departments to maximize CRM performance.
Own and administer the marketing automation platform (e.g., HubSpot Marketing Hub) end to end, including workflows, lead scoring, list segmentation, and lifecycle-stage definitions.
Define and maintain the marketing-to-sales lead handoff process, including MQL/SQL criteria and lead-routing service-level agreements.
Process Optimization & Best Practices
Develop, standardize, and optimize sales and marketing processes to improve efficiency and predictability, including writing SOPs.
Partner with the CRO to develop and roll out sales enablement materials and trainings.
Partner with marketing leadership to standardize campaign, content, and creative request workflows (intake, briefs, and approvals) with the same operational rigor applied to sales enablement.
Identify bottlenecks in the sales pipeline and recommend solutions to enhance performance.
Establish and scale best practices for sales efficiency, shortening the sales cycle and improving team performance.
Oversee and optimize activity of Sales Operations Manager to increase productivity and add value to the sales process.
Data Analysis & Reporting
Develop meaningful KPIs to improve visibility across the organization, monitor performance.
Oversee creation of dashboards and reports, analyze data to create actionable insights.
Own campaign- and channel-level performance reporting (email, content, paid) and website/demand analytics (e.g., GA4, GSC, Hotjar) against the marketing KPI framework.
Partner with sales, marketing, and executive leadership to develop and align forecasting models with industry trends.
Analyze ROI on marketing spend and investments, by channel and campaign, tying results back to pipeline and revenue attribution.
Strategic Planning
Partner with leadership on sales planning initiatives, including Territory Planning, Capacity Planning, Publication Planning, and Quota Planning.
Partner with marketing leadership on marketing planning initiatives, including campaign and content calendar planning and cross-functional go-to-market coordination for new product and research launches.
Collaborate with marketing and insights teams to integrate findings into sales strategies.
Connect sales, marketing, and finance departments to ensure smooth go-to-market execution.
Performance Metrics
Ensure revenue targets are met by tracking actual performance against full-year goals and continuously identifying risks/opportunities to the fiscal plan throughout the year.
Other
Oversee deal management via HubSpot workflow, processes and associated Master Data, MSA and SOW receipt, review, storage, reference, and other tasks as required to internal stakeholders in their day-to-day management of Deals.
Education & Experience
Bachelor’s degree in Business Administration, Marketing, or a related field; advanced degree preferred.
5+ years of experience in sales & marketing operations, CRM management, marketing automation, and campaign analytics, or a related field, preferably in market research or life sciences/biopharma industries.
3+ years of experience managing a team.
Proven experience managing multidisciplinary teams and working with executive stakeholders.
Proficiency in HubSpot CRM and sales analytics tools (e.g., PowerBI, Tableau).
Proficiency in marketing automation platforms (e.g., HubSpot Marketing Hub) and web/product analytics tools (e.g., GA4, Google Search Console, Hotjar).
Proficiency in using AI tools such as ChatGPT or Claude to improve processes and efficiencies.
Proficiency in Microsoft Excel.
Strong understanding of data analysis, forecasting, and sales reporting methodologies.
Exceptional analytical and problem-solving abilities.
Strong project management skills, including planning and execution of sales initiatives.
Excellent verbal and written communication skills for effective collaboration and reporting.
Customer-focused mindset with a deep understanding of customer behaviors and segmentation.
Ability to work in a fast-paced, results-driven environment with a detail-oriented approach.
