The Fleet Service Coordinator owns the day-to-day execution of all Fleet Service functions, from work order intake through repair completion, while maintaining compliance with all established work processes. This is an individual contributor role with no direct reports, responsible for keeping service work moving across the fleet and escalating issues to Fleet management. The coordinator will communicate extensively with internal stakeholders, field operations, and equipment dealers to reduce repair lead times, drive down machine downtime, and increase equipment availability. This is a heavy volume & fast paced role, managing heavy off-road construction equipment, within a high-performance equipment management organization.

Responsibilities: 

• Responsible for the full cycle work order management, including work order intake, prioritization, scheduling, and follow-through to completion.
• Prioritize and expedite emergency work orders to restore equipment to service as quickly as possible.
• Coordinate repairs across internal technicians, field crews, outside vendors, and dealers, holding all parties accountable to committed timelines.
• Serve as the primary point of contact for equipment dealers on repair status, lead times, parts availability, and warranty claims.
• Review repair estimates for accuracy and completeness and route them to Fleet management for approval.
• Effectively utilize the Computerized Maintenance Management System (CMMS) to manage all facets of Service operations.
• Maintain the system’s data quality by ensuring work orders are opened, updated, and closed accurately and on time, with complete repair, labor, and cost detail.
• Generate reports, analyze the data, and recommend corrective actions to reduce repair lead times and repeat failures.
• Support equipment uptime/downtime metrics and the fleet-wide downtime target of below 10%.
• Communicate repair status and equipment availability to operations stakeholders so work can be planned around downtime.
• Maintain a positive and professional working relationship with peers, management, and support resources, with a constant commitment to teamwork and exemplary customer service.
• Perform all other duties as assigned by management in a professional and efficient manner.

Requirements:

• A minimum of 2 to 3 years of experience coordinating service and repairs for a heavy construction equipment fleet is required; experience supporting a large fleet (2,000+ assets) is preferred
• Proficient in Microsoft suite in word processing, spreadsheets, and database applications
• Hands-on experience working in a CMMS or fleet management system is required
• Must be fluent in speaking, reading, and writing in English
• Ability to generate reports, analyze data, and take the necessary course of action
• Proven ability to prioritize, schedule, and expedite repairs across a heavy equipment fleet in a high-volume environment
• Extensive experience working with Caterpillar, Komatsu, Volvo, & John Deere equipment dealerships
• People-oriented with the ability to build long-term business relationships
• Exceptional customer service, communication, and organizational skills are required
• A high school diploma or its equivalent is required
