Position Summary We have an exciting opportunity to join our team as a Medical Secretary-OR Central Scheduling-Day Shift (35 hours). In this role, the successful candidate is responsible for triaging, completing, and scheduling daily surgical bookings in a professional and timely manner. The candidate communicates with Operations Leadership, Anesthesia, and Nurse Managers on any information pertinent to the daily function of the Operating Room, learns about procedures and perioperative operations daily through feedback and observation, performs all computer related functions, may provide assistance to less senior staff, and covers the front‑desk as needed. Job Responsibilities Schedules cases efficiently and accurately, maximizes room utilization and sequences cases to provide efficient turnkey operation flow. Records patient demographic information when required. Audits the schedule for pertinent case details to ensure cases are booked correctly, for the accurate case length, laterality is correct, and any outstanding elements (insurance authorization, medical evaluations, lab results) are followed up on. Acts as liaison between provider offices and Perioperative staff, escalating surgeon, equipment, patient, and any other conflicts detected in Epic. Responsible for load‑leveling case volume each day, with guidance as needed from nursing and operational leaders. Communicates with Nurse Managers and Operating Room Director about any information pertinent to case‑flow, answers telephones, checks voicemail timely and appropriately. Identifies and analyzes trends in scheduling practices based on unit metrics and feedback from nursing and anesthesia leaders to further improve the schedule, providing feedback to surgical coordinators and other surgical/procedural office team members. Participates in unit meetings as needed and leads unit scheduling meetings with nursing. Provides reception assistance and screens telephone callers in a pleasant and professional manner, takes messages or directs caller to the appropriate person or area. Ensures appropriate procedure coding is utilized and verifies process; questions physicians as appropriate to ensure accuracy and completeness of information. Maintains workload statistics and other data for departmental records, recording statistics at established intervals designated by supervisor. Prepares simple, routine memoranda, letters, labels, routine manuscripts, correspondence, and other documents as needed; reviews work for accuracy and completeness; may maintain routine calendar and assist with basic conference preparation. Assists, provides guidance, and/or trains less senior staff with completing intake related duties. Maintains supplies and cleanliness of space, restocks supplies as needed, notifies supervisor of any shortage of supplies. Maintains and receives files for area, keeping them organized and up‑to‑date for easy retrieval; completes filing in accordance with departmental procedures; sorts and distributes documents and forms; logs materials with respect to time and data; processes incoming and outgoing documents; secures appropriate signatures and forwards documents to correct destinations; maintains copies for files; faxes documents according to departmental procedures. Maintains confidentiality on privileged matters. Maintains cooperative and professional relationships with physicians, nurses, and office and clinical staff. Refers patients with questions regarding insurance coverage or financial matters to the Business Office Associate per established criteria. Monitors intake work queue for timely intake completion. Performs other duties as assigned. Minimum Qualifications To qualify you must have a High School diploma, one year of relevant medical clerical experience, prior physician practice experience, and knowledge of medical terminology. Background in computer literacy is preferred. Light, accurate keyboarding skills are required. Excellent organizational, interpersonal, and communications skills are required. Qualified candidates must be able to effectively communicate with all levels of the organization. Preferred Qualifications Knowledge of computer‑based scheduling and appointment programs. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need.
