Proposal Coordinator | Architecture, Engineering & Construction (AEC) We’re helping our client search for a highly organized Proposal Coordinator to support the pursuit of new business opportunities across a fast-paced, collaborative AEC environment. This role will take ownership of the proposal process from kickoff through submission, partnering with marketing, business development, technical teams, and project managers to deliver high-quality, compliant, and compelling proposals on time. What You’ll Do Coordinate RFPs, RFQs, SOQs, proposals, and qualification packages from start to finish. Manage proposal schedules, deadlines, kickoff meetings, reviews, and submissions. Review solicitation requirements and ensure full compliance. Assemble, format, proofread, and produce polished proposal documents. Maintain proposal libraries, employee resumes, project sheets, capability statements, and reusable content. Manage client prequalification materials, vendor registrations, certifications, and renewal deadlines. Coordinate graphics, presentation materials, interview decks, and leave-behinds. Track proposal activity, submission results, and historical records. Support continuous improvement of proposal processes, templates, and content. What We’re Looking For 2–5 years of proposal, marketing, or business development experience. Experience within AEC, engineering, construction, environmental consulting strongly preferred. Hands-on experience with RFPs, RFQs, SOQs, and qualification-based proposals. Excellent organization, proofreading, formatting, and deadline-management skills. Strong Microsoft Word, Excel, and PowerPoint skills. Adobe Creative Cloud experience — particularly InDesign and Acrobat — is required. Comfortable using AI tools to support content development and efficiency. Experience with procurement and electronic proposal submission portals is a plus. Why Join?
