Laboratory Relocation Coordinator / Client Services Representative

The Laboratory Relocation Coordinator / Client Services Representative plays a key role in supporting a new laboratory build-out by coordinating the installation of lab assets arriving from multiple locations. This in-person role focuses on vendor coordination, asset readiness, safety compliance, and administrative support to ensure that laboratory relocation activities proceed smoothly and on schedule. You will serve as a primary on-site point of contact for vendors and internal teams, helping maintain accurate project documentation and driving continuous improvement throughout the relocation process.

Responsibilities:

• Collaborate closely with on-site teams to maintain accurate and up-to-date asset information for laboratory equipment and related infrastructure.
• Manage on-site vendor visits by validating readiness before arrival, registering vendors with security, and escorting them from security checkpoints to the appropriate laboratory areas.
• Provide clear and critical instructions to vendors before work begins to ensure activities are performed safely and in alignment with project requirements.
• Assist in the collection, organization, and storage of vendor documentation following field visits, ensuring all records are complete and properly filed.
• Monitor daily progress of relocation and installation activities, identify potential delays, and proactively plan upcoming tasks to keep the project on track.
• Support vendor coordination by confirming that equipment, laboratory spaces, and necessary supplies are prepared and available prior to scheduled work.
• Manage expectations of stakeholders and vendors by providing consistent, timely updates on progress, issues, and next steps.
• Utilize project tools such as SmartSheet, Excel, and the Microsoft Office Suite to track tasks, dependencies, and milestones, and to maintain organized project documentation.
• Perform administrative tasks including updating team documents, maintaining project files, sending emails, and supporting general project communication.
• Participate in post-vendor visit reviews with the team to capture lessons learned and help drive continuous improvement in processes and coordination.
• Maintain a safety-first mindset by validating that proper personal protective equipment (PPE) is used and that safety guidelines are consistently and rigorously followed in the laboratory environment.
• Adhere to Health, Safety, and Environment guidelines while working in laboratory spaces and during all vendor interactions.
• Work independently with minimal detailed instruction, making sound decisions and escalating issues appropriately when needed.
• Communicate effectively in writing and during conference calls, representing the project professionally and clearly to internal teams and external vendors.
• Deliver responsive and efficient client service in a fast-paced environment, ensuring laboratory relocation activities meet quality and timeline expectations.

Essential Skills:

• 12 years of relevant experience in a fast-paced, coordination or client services role.
• High school diploma or equivalent education.
• Familiarity with a wide range of laboratory equipment and a general laboratory environment, even without hands-on equipment operation experience.
• Proven ability to work efficiently and responsively in a fast-paced environment with shifting priorities.
• Comfort working in laboratory environments while strictly adhering to Health, Safety, and Environment guidelines.
• Ability to work independently without detailed instruction, taking ownership of tasks and follow-through.
• Strong written communication skills for email and documentation, and clear verbal communication skills for conference calls and vendor interactions.
• Intermediate or higher proficiency with the Microsoft Office Suite, including Excel and Outlook, for tracking tasks, managing documentation, and communicating with stakeholders.
• Ability to use project tools such as SmartSheet, Excel, and other Microsoft Office applications to track tasks and dependencies.
• Strong organizational skills with attention to detail in managing project documents, vendor records, and asset information.
• Customer service mindset with the ability to manage expectations and provide consistent updates to stakeholders.

Additional Skills & Qualifications:

• Experience working with cross-functional teams and external vendors in a collaborative environment.
• Bachelor's degree preferred, particularly in a related field such as science, engineering, business, or project management.
• Experience in laboratory or technical environments, even in a coordination or administrative capacity, is highly beneficial.
• Demonstrated ability to contribute to continuous improvement by participating in reviews and implementing lessons learned.
• Strong interpersonal skills and the ability to build effective working relationships with on-site leads, team members, and vendors.
• Comfort with balancing administrative duties and on-the-floor coordination activities in a dynamic project setting.

Work Environment:

This is an in-person role based at a client laboratory site involved in a new lab build-out and relocation project. You will work primarily in laboratory environments and adjacent office areas, interacting frequently with vendors, security personnel, and on-site project teams. The standard schedule is Monday through Friday, approximately 8:00 AM to 5:00 PM, with some flexibility in hours as needed to support vendor visits and project activities. The environment requires strict adherence to Health, Safety, and Environment guidelines, including consistent use of appropriate personal protective equipment (PPE) and compliance with laboratory safety protocols. You will use tools such as SmartSheet and the Microsoft Office Suite (Excel, Outlook, and related applications) to manage tasks, documentation, and communication. Free on-site parking is available, making commuting convenient. The culture emphasizes safety, organization, clear communication, and collaboration across a small project team working across multiple sites, offering the opportunity to support a significant laboratory build-out and relocation initiative on a 12-month contract with potential for conversion to a full-time role.

Pay and Benefits:

The pay range for this position is $33.00 - $33.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
