Client Experience & Operations Coordinator | Concierge 40 Years of Zen | Leander, TX 40 Years of Zen is hiring a Client Experience & Operations Coordinator/Concierge to be the operational heartbeat of our Leander, Texas location. This is not a traditional front-desk role. You’ll help run the daily rhythm of the experience, making sure our clients, facilitators, and neurotech team have what they need and that the details behind the scenes are handled before they become issues. You’ll often be the first person our clients see when they arrive and the person they trust when something needs attention. We’re looking for someone who is highly organized, warm, resourceful, and comfortable taking ownership. What You’ll Own Open and close the space each day, ensuring supplements, coffee, program materials, kitchen areas, and client-facing refreshment areas are ready before clients arrive Welcome clients and manage the daily check-in flow Serve as the go-to person for client comfort and logistical needs, including room temperature, transportation, hotel, and travel questions Help keep facilitators and neurotechs focused on client sessions by handling day-to-day operational needs Manage incoming calls, inboxes, and client correspondence Own the Master Scheduler, including bookings, onboarding documentation, and signed paperwork Assist with electrode placement as needed Coordinate weekly client-related deadlines, including information for our clinical partners, dietary details for the chef, client gifts, and retail/POS needs Maintain inventory counts and proactively reorder supplies Keep digital client files organized, accurate, and confidential Track receipts and expenses and coordinate with vendors Help coordinate staffing coverage when needed Support post-program follow-up, feedback collection, and thoughtful client touches, including handwritten thank-you notes Jump in wherever needed to keep the space organized, prepared, and running smoothly Who Thrives Here You’re the person who can keep five moving deadlines straight without needing to be reminded. You don’t need a script to help a client who needs something right now, and you’re equally comfortable working in a spreadsheet, coordinating a vendor, restocking supplies, or cleaning up a client-facing area before the next arrival. You take confidentiality seriously, communicate clearly, and like being the person others can count on.
