The Information Services (IS) Department at ResponsiveEd Texas is actively engaged in the most significant technology transformation in our organizational history, while the team maintains a servant leadership approach in improving the educational experience through the efficient and effective flow of information in the form of principled and thoughtful technology-driven decisions. Public Education Information Management System (PEIMS) encompasses all data requested and received by TEA about public education, including student demographic and academic performance, personnel, financial and organizational information. The IS PEIMS Department supports the organization by ensuring compliance with the federal and state requirements in a timely manner while maintaining data integrity.

A PEIMS Assistant is primarily responsible for administrative and system-related activities that pertain to the creation, maintenance and communication of Campus calendars for each of the ResponsiveEd Texas Districts. Additionally, the PEIMS Assistant will assist the team with following-up on outstanding TREX requests, running reports for schools, maintain structure of Google Drive folders shared with schools, as well as assist with special projects of data entry/review during time-sensitive submission deadlines. The aim of a PEIMS Specialist is to align the outcome of his/her responsibilities and deliverables with the overall mission of the IS PEIMS Team, in order to ensure data accuracy and reporting in a timely manner.

Education/Certification

High School Diploma / GED required. Bachelor's degree desired.

Experience

• 2+ years in administrative support roles.
• 2+ years experience in data entry, record keeping, word processing, and spreadsheet maintenance.
• Auditing experience preferred.
• PEIMS-reporting experience preferred.
• Calendar creation/maintenance for a school district preferred.

Responsibilities and Duties

• Gather needed information from multiple sources to begin creating a draft Campus calendar for each of the ResponsiveEd Texas Campuses operating for the upcoming school year.
• Create and share draft calendar template with Campus leadership for further adjustments.
• Share final calendar draft for approval by Campus leadership using DocuSign.
• Communicate with Executive Assistants for which Campus calendars need Board Approval.
• Disseminate approved calendars with the respective Campus leadership, PEIMS Specialist(s), and multiple other Departments.
• Revise approved calendars during the School Year when an unexpected event occurs that requires modification.
• Communicate with Executive Assistants for which Campus calendars require Board ratification, and further disseminate the modified calendar with Campus leadership, PEIMS Specialist(s), and multiple other Departments.
• Maintain all updates made to calendars within the Student Information System.
• Follow-up with Campus leadership and maintain audit documentation related to Professional Development days.
• Follow-up with Campuses on outstanding TREX requests.
• Disseminate to Campuses and/or Departments incoming records requests.
• Audit & approve enrollment and transfer enrollment records syncing from the admissions system in the Student Information System.
• Be available to assist with other special assignments related to State and/or Federal Reporting during the year.
• Assume new responsibilities as needed.

This position may require prolonged sitting, standing, walking, and the ability to lift, carry, push, or pull small items up to 50 lbs. unassisted. Other physical demands may include hand and eye coordination, manual dexterity, visual acuity, speech and hearing, repetitive motion, climbing, bending, stooping, crouching, kneeling, reaching, twisting, balancing, occasional prolonged or irregular hours, and driving to perform essential functions.
