Job Summary:

As a Sales Coordinator at our dynamic retail and foodservice distribution company, you will play a pivotal role in driving topline and bottom-line sales growth and establishing strong customer relationships. Your primary responsibility will be to assist the Account Executive team by providing administrative and clerical support in an industry that never stops moving. The position is designed to have regular phone interaction with G&C customers, as well as a daily list of short-term tasks and responsibilities, as well as long-term projects, as directed by Sales Management. Due to the unpredictable nature of consumer demand, Sales Coordinators are empowered to make business decisions beyond regular business hours, provided that these decisions contribute positively to the well-being of the company and its stakeholders.

Duties and Responsibilities:

• Customer Acquisition and Retention:
  1. Develop and maintain strong relationships with existing customers, understanding their needs, and ensuring satisfaction with our products and services.
  2. Maintain regular communication with both designated Account Executives and G&C customers to establish and sustain consistent sales orders. Ensure adherence to order minimums and align orders with the frequency of G&C delivery schedules, extending availability to all customers beyond designated Account Executives.
  3. Effectively execute price list distribution for all new and existing customers for each assigned Account Executive.
  4. Manage end-to-end documentation process for new accounts, including credit and shipping applications, ensuring accuracy and timely completion through effective collaboration with internal teams.
• Sales Strategy and Execution:
  • Support and assist Account Executives in all aspects of the G&C business to grow sales.
  • Advanced proficiency in navigating and utilizing the G&C operating system.
  • Utilize the G&C operating system to input purchase orders for designated Account Executives, encompassing tasks such as standing orders, special orders, product substitutions, price changes, price/product bookings, as well as scheduling product returns/claims.
  • Managing and communicating the status of orders for the designated Account Executive, encompassing aspects such as underweight orders, appointment discrepancies, orders beyond date range, credit-held orders, and ensuring 3PL delivery accuracy, among other responsibilities.
  • Collaborate with the Account Executive to create presentations for business reviews, for both internal and external customer visits.
  • Manage customer price list reviews, align G&C product codes, and create custom order guides to optimize pricing strategies and meet individual customer preferences.
• Product Knowledge:
  • Possess a good understanding of our product portfolio, including food items, packaging, and pricing structures. As well as the regional verbiage of various items.
  • Provide customers with product information, training, and support to enhance their overall experience, leveraging G&C’s online Market.
• Cross-functional Collaboration:
  • Engage with all G&C Departments to service the needs of the G&C customer, which include but are not limited to: Purchasing, Transportation & Logistics, Accounting, IT, Operations, HR.
  • Actively collaborate with Sales Management and G&C Product Owner to find improvements in internal procedures and customer optimizations.
  • Provide reception phone coverage and extend task coverage for Sales Coordinators/Account Executives during absences, ensuring a seamless and professional first point of contact and maintaining operational continuity through delegated daily tasks.
• Reporting and Analysis:
  1. Advanced proficiency in navigating and utilizing the G&C sales reporting system and Microsoft Suite of products.
  2. Utilize the G&C sales reporting system to generate and provide Account Executives and Sales Management with detailed sales reports, encompassing key metrics such as volume and profitability reporting, category void reports, incentive reporting, and other relevant data.
  3. Maintain accurate and up-to-date records of administrative duties for each assigned Account Executive, which include but are not limited to account lists, customer credits/unauthorized deductions, product backorders, and inventory discrepancies.
  4. Maintain and ensure the accuracy of customer data within G&C's email marketing software for every assigned account executive.
  5. Manage and fulfill customer documentation requests, including COAs, HACCP, Letters of Guarantee, and New Item Forms, ensuring accuracy, timeliness, and compliance with industry standards.

Experience and Education Required:

• High school diploma or equivalent required.
• Bachelor’s degree or related experience preferred.
• 1-3 years of Sales experience required. Retail or food service experience required.
• Ability to travel occasionally for customer/office visits.
