School Secretary (Bookkeeper)

The job of School Secretary (Bookkeeper) is done for the purpose of providing secretarial support to assigned personnel; communicating information to staff, the public, and other school systems; ensuring compliance with financial, legal and administrative requirements; and providing information and/or direction.

  • Coordinates a variety of programs and activities (e.g. student activity funds, purchase of relevant supplies, employee payroll information, etc.) for the purpose of ensuring effective school functioning and delivering services in conformance to established guidelines.
  • Evaluates situations (e.g. involving other staff, students, parents, the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
  • Maintains inventories of supplies and materials for the purpose of ensuring items availability.
  • Maintains a wide variety of records, forms and materials for the purpose of ensuring effective processing and comprehensive data storage as needed.
  • Monitors assigned Division activities and/or program components for the purpose of coordinating activities and ensuring compliance with established financial, legal and/or administrative requirements.
  • Participates in meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.
  • Performs other related duties as assigned by the supervisor for the purpose of ensuring the efficient and effective functioning of the work unit.
  • Performs record keeping (confidential and non-confidential) and general and program specific clerical functions (e.g. bookkeeping, scheduling, copying, faxing, etc.) for the purpose of supporting assigned administrator and/or site with necessary materials.
  • Prepares written materials (e.g. correspondence, reports, memos, letters, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
  • Reconcile fund balances as assigned (e.g. student activity accounts, site activity accounts, etc.) for the purpose of ensuring effective utilization of funds, and that funds are maintained in compliance to all appropriate federal, state and local regulations.
  • Researches a wide variety of topics for the purpose of providing information to assist in addressing a variety of administrative requirements.
  • Responds to inquiries from a variety of internal and external parties (e.g. staff, administrators, parents, students, outside agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
  • Supports assigned administrative personnel for the purpose of providing assistance with administrative functions.

Terms of Employment: 229 days, 12 months

Minimum Qualifications: High school diploma or GED; Clerical and/or bookkeeping experience.

Preferred Qualifications: Associates degree or course credits from a post-secondary institution; Two or more years clerical and/or bookkeeping experience in an educational setting
