Abacus Solutions Group is currently hiring for a Partner Relations Specialist Assistant. This role is a temporary position! 

The Partner Relations Specialist Assistant provides direct administrative and operational support to the Partner Relations Specialist in managing the Emphasys database, software platform compliance needs, and external partner communications. This role assists in the day-to-day activities necessary for staff to fully operate within the Emphasys software (ticket logging and follow-up, data entry support, training coordination, and internal and external partner correspondence, etc.).

This role will develop a working knowledge of the fundamental Program rules and requirements for LIHTC, HOME, and all other affordable housing programs monitored by OPM. Affordable Housing training will be required throughout the role.

KEY RESPONSIBILITIE S

Implementation Support: This role will assist the Partner Relations Specialist and the Emphasys Enterprise Project Manager with the implementation of HFDD Emphasys modules and features by coordinating schedules, tracking deliverables, and providing administrative support to ensure timely completion of implementation milestones.

Ticket Resolution Support: This role will assist with logging, categorizing, and tracking internal and external Emphasys support tickets. This role will maintain and update the Priority Workbook established by the Partner Relations Specialist, ensuring ticket statuses are current and communicated to OPM leadership on a timely basis.

Customer & Partner Support: This role will assist in responding to inquiries from DCA Partners (Management Companies and Owners/Developers} regarding Emphasys software functionality. This role will help coordinate webinars, maintain training materials, update reference guides and websites, and serve as a first point of contact for partner questions, escalating complex issues to the Partner Relations Specialist.

Database Maintenance Support: This role will perform data entry, data verification, and routine data clean-up tasks in the Emphasys system under the direction of the Partner Relations Specialist and in coordination with the Enterprise Project Manager. This role will assist in tracking progress toward the data organization milestones and long-term maintenance plan established for OPM staff.

Non-Compliance Support: This role will assist the Partner Relations Specialist in coordinating non-compliance billing needs across OPM managers and help compile documentation for the OPM Billing Specialist. This role will maintain records of properties subject to non-compliance fees and track billing status for reporting purposes.

Routine Deliverables:  Assist with property setup and unit creation in the Emphasys system, support annual HUD data submission preparation, assist with monthly tenant compliance reporting for the OPM Portfolio, and assist in resolving Compliance issues by gathering and organizing the required information for OPM management partners.

Administrative & Coordination Support:  This role provides direct administrative support to the Partner Relations Specialist and OPM Office Director. Duties include scheduling meetings, maintaining logs and tracking sheets, drafting routine correspondence, preparing reports and presentations, and organizing documentation for the OPM compliance portfolio. This role should proactively communicate status updates and flag issues to the Partner Relations Specialist for timely resolution.

PREFERRED QUALIFICATIONS

• Experience in an administrative, compliance, or program support role within a public-sector or housing organization.
• Familiarity with affordable housing programs including LIHTC, HOME, or HTF preferred.
• Experience with database platforms, data entry, or compliance software.
• Strong organizational skills and attention to detail.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
