Customer Service Representative

In this key on-site position, you will be the welcoming face and voice of our pediatric clinic—managing patient check-in and check-out, scheduling appointments, verifying insurance coverage, and handling front-end revenue cycle activities like co-payment collections. Working a predictable Monday through Friday daytime schedule (8:00 AM – 4:30 PM), you will collaborate closely with clinical, administrative, and financial teams to ensure smooth clinic workflows and an exceptional care experience for patients and families. If you bring strong customer service skills, proficiency with healthcare scheduling software, and a minimum typing speed of 35 WPM, this contract opportunity offers a fantastic environment to apply and expand your skills.

Responsibilities

Position Summary:

Execute patient registration, appointment scheduling, insurance verification, referral tracking, and front-end revenue cycle tasks to support daily outpatient clinic operations.

Key Responsibilities:

• Complete patient registration and check-in/check-out processes, accurately updating demographic and insurance details in system databases.

• Schedule, reschedule, and coordinate patient appointments using automated scheduling systems.

• Verify insurance coverage, identify referral/prior-authorization needs, and communicate financial expectations with patients or parents/guardians.

• Collect and record co-payments, pre-service deposits, and outstanding account balances following cash-handling protocols.

• Address patient portal messages, incoming phone calls, and work queues while maintaining HIPAA compliance.

• Float to alternative regional clinics or outpatient centers as required for operational coverage.

Requirements:

• High School Diploma or GED required.

• Minimum 1 year of healthcare administrative experience (patient registration, appointment scheduling, insurance verification, or front-end revenue support).

• Minimum typing speed of 35 WPM with computer proficiency (MS Office, EHR/EMR systems preferred).

• strong communication, customer service, and documentation skills in a fast-paced environment.

• Mandatory Vaccinations: Seasonal Flu and COVID-19 (up-to-date with boosters).
