Job Details Job Location: Edmond, OK 73034 Position Type: Staff Salary Range: $20.19 - $20.19 per hour Job Category: OTRS Classified Position Classification: Regular, full‑time, hourly, non‑exempt and benefit‑eligible staff position General Schedule: 40 hours per week, Monday through Friday with occasional evenings and weekends for events Position Overview Manage and organize office operations, budgets, procedures, and personnel. Supervise office staff and participate in administrative functions of the work unit. Interpret and advise internal and external customers on departmental or program policy and guidelines. Perform queries, reports, and document production using Microsoft Office. Assist leadership in program, event, and project planning and development. Interpret, monitor, and analyze information regarding operating policies and procedures. Analyze and resolve administrative services issues. Maintain personnel records, approve timesheets, and coordinate intra‑unit operations and procedures. Department Specific Essential Job Functions Plan and coordinate logistics of professional developments, programs, events, conferences, and meetings. Assist in publicizing and implementing events from concept to clean‑up. Propose improvements or new processes to increase staff efficiency and participant satisfaction. Collaborate with cross‑functional teams, including advertising, HR, and IT, to gather necessary resources. Develop and distribute communications regarding upcoming events. Monitor spending and invoice status to keep event costs within budget. Oversee set‑up and clean‑up of all assigned events and ensure those implementing events have all necessary information. Address staff and participant questions and complaints and work toward resolution. Prepare reports, presentations, or other materials as required. Perform work under general supervision, handling moderately complex issues and referring more complex issues to higher‑level staff. OKA+ Specific Responsibilities Plan and coordinate logistics for all Oklahoma A+ Schools Institute programs and events. Create and coordinate registration processes for each event. Communicate logistics to staff, A+ Fellows, and participants from registration to conclusion. Handle set‑up and clean‑up, including food and catering arrangements, for events. Secure spaces for events and coordinate all logistical needs, including technology. Seek vendor proposals (caterers, printers, rentals, hotels) and initiate contracts. Make travel and lodging arrangements for staff, Fellows, participants, and speakers. Develop strategies to respond to participant needs and concerns. Facilitate communication between Oklahoma A+ staff, Fellows, consultants, and participating schools. Field questions from A+ Network schools and general public about events. Additional Responsibilities Answer questions and provide information or data as requested within or outside the work area. Execute tasks according to standard operating procedures and direction. Show ability to learn new subject matter and respond to feedback. Follow established policies, resolve problems using approved alternatives. Assist in budget development by identifying operational needs. Execute routine procedures with direction from senior staff. Qualifications / Experience Required University degree or equivalent work experience that provides knowledge of fundamental theories and principles. Ability to apply expertise to achieve results. Experience in planning, program development, innovation, prioritization, and assessment. Professional accomplishments and credentials appropriate to the field. Preferred Qualifications Bachelor’s degree or equivalent combination of education and experience. Two years of office and project management experience. Basic accounting, budgeting, and financial monitoring skills. Knowledge and experience with Banner and project management. Ability to maintain confidentiality. Ability to make policy and procedure decisions. Knowledge, Skills, and Abilities Visual attention, mental concentration, and manipulative skills. Proficiency with Windows OS and related software (Word, Access, Excel, Internet). Strong multitasking and mental concentration under pressure. Interpersonal skills and ability to build effective relationships. Excellent writing and oral communication skills. General knowledge of public K‑12 schools in Oklahoma. Excellent organizational and public relations skills. Attention to detail and ability to work calmly under pressure. Knowledge of state and local vendors (caterers, printers, etc.). Ability to follow instructions and work independently. Positive attitude and ability to thrive in a busy environment. Teamwork orientation and self‑starter attitude. Flexibility and ability to prioritize multiple tasks and meet deadlines. Confidentiality and discretion.
