Quality Coordinator

The Quality Coordinator provides operational and administrative support to the Quality team by coordinating project activities, managing documentation workflows, tracking milestones, and facilitating sample logistics between vendors. This role is responsible for ensuring Statements of Work (SOWs), Purchase Orders (POs), sample shipments, and quality-related documentation are processed accurately and on schedule. The Quality Coordinator works cross-functionally with internal stakeholders and external partners to support the timely execution of quality activities and maintain accurate project records.

Key responsibilities include:

• Manage and maintain Quality project trackers and milestone reports to ensure visibility of project status and deliverables.
• Generate status updates and reports for Quality leadership.
• Request Statement of Works and track status through the approval process.
• Track Purchase Order approvals and coordinate with Finance, Procurement, and vendors to ensure timely processing.
• Monitor PO status and maintain accurate records of expenditures and contract-related documentation.
• Route quality-related documents through review and approval processes.
• Ensure documentation is completed, approved, and archived in accordance with applicable procedures and quality standards.
• Coordinate and submit sample shipment requests to internal and external testing facilities.
• Track sample shipments and confirm receipt by testing laboratories or stakeholders.
• Collaborate with Quality Control, Quality Assurance, Supply Chain, Procurement, Finance, and external partners to support project execution.

Requirements:

• Bachelor's degree with 0-2 years of relevant experience required. A degree in a scientific discipline (e.g., Biology, Chemistry, Microbiology, Biochemistry, Pharmaceutical Sciences, or related field) required.
• Experience working in a regulated environment such as pharmaceutical, biotechnology or medical device is preferred.
• Quality Assurance or Quality Control experience within life sciences not required, but highly preferred.
• Working experience with Smartsheets required.
• Experience in project coordination, operations support, quality systems administration, or a related duties is highly preferred.
• Strong organizational skills with the ability to manage multiple priorities simultaneously.
• Experience tracking projects, schedules, milestones, and deliverables.
• Must be proficient with Smartsheets.
• Proficiency with Microsoft Office applications, particularly Excel, Word, Outlook, and PowerPoint.
• Excellent written and verbal communication skills.
• Detail-oriented with a strong focus on accuracy and follow-through.
• Ability to work effectively in a fast-paced, cross-functional environment.

Salary Range: $72,000 to $79,000
