Booking Assistant

Assist in booking and scheduling recording facilities for students and faculty.

Essential duties and responsibilities include scheduling studio and suite reservations for students and faculty, as well as guiding WTD and ATD students through the process of booking projects, recording sessions, and practice time. While most reservations are made online, there will be occasions when you will assist students in person at the booking window. You will also be expected to answer questions related to booking procedures and recording curriculum across all WTD and ATD departments, including EPD, Songwriting, MPE, CWP, and Screen Scoring.

Comprehensive training will be provided by the Booking Manager/Coordinator and Student Employee Supervisors, who will instruct you on all procedures, protocols, and responsibilities required for the division. Based on your assigned shifts, evening and weekend availability will be required. Please take this into consideration before applying and be prepared to discuss your availability during the interview. Our operational hours are Monday through Sunday, 10am8pm. We require our work studies to work at least 3 shifts (6 hours a week each shift is 2 hours) and you can work up to 20 hours total. All student employees are expected to reliably cover their scheduled shifts. If any conflicts arise after schedules are finalized, you must communicate with your manager promptly.

Required Skills and Knowledge:

• Computer savvy
• Skilled in Microsoft Office
• Exceptional attention to detail. Ensures accuracy in bookings, schedules, and policy compliance.
• Strong organizational and time-management skills. Able to prioritize multiple requests and keep scheduling workflows running smoothly.
• Good phone etiquette
• Ability to remain calm and professional in fast-paced or high-pressure environments. Important when students/faculty line up or changes happen last minute.
• Problem-solving and conflict-resolution skills. Handling double bookings, policy misunderstandings, or last-minute changes.
• Ability to work both independently and collaboratively. You can follow procedures but also coordinate with Tech, Operations, Faculty, and Students.
• Strong customer service mindset. Approachable, patient, and solution-oriented with everyone at the booking window.
• Reliability and punctuality. Essential when you're one of the first points of contact for daily studio operations.
• Ability to learn new systems and procedures quickly. Shows you can adapt as policies or platforms change.
• Professional written communication. Useful for email confirmations, follow-ups, and scheduling notes.
• Possess a positive attitude.
• Students who are just beginning their journey at Berklee, ideally those in their 4th or 5th semester or lower.

Preferred Skills and Knowledge:

• Experience using booking or scheduling software (e.g., EMS, AAOF, Calendly, Microsoft Office (Excel) internal school systems).
• Familiarity with studio operations, academic environments, or media production workflows.
• Ability to de-escalate or calmly manage high-traffic periods at the booking window.
• Experience providing customer service in a fast-paced environment.
• Strong written communication for email confirmations and documentation.
• Comfort interpreting and explaining institutional policies to students, faculty, and staff.
• Ability to troubleshoot minor issues or direct inquiries to the correct department.
• Bilingual communication skills (if you want to emphasize Spanish/English - optional)
• Proactive mindset with the ability to anticipate scheduling conflicts before they occur.
• Familiarity with FERPA guidelines or handling confidential student information.
• Basic knowledge of studio or equipment terminology (even general audio/video terms)

Expected hours per week: 6-20 hours per week.

Expected dates and times of shifts: Monday through Sunday, 10am-8pm.

Hourly rate: $16.45.
