Job Summary:

The Scheduler is responsible for coordinating and scheduling procedures in a timely, efficient, and accurate manner. This position serves as a liaison between patients, physicians, departments, and clinics to ensure all cases are scheduled according to physician orders, patient needs, and organization capacity, while maintaining compliance with organizational policies and regulatory standards.

Hours: 1.0 FTE - 40-hours per week, Monday - Friday

Essential Job Functions:

  • Exhibit a strong sense of customer service to our staff, physicians, and referring office staff
  • Schedule procedures in collaboration with relevant departments to ensure optimal use of resources
  • Ensure the necessary resources are available for cases scheduled
  • Enter scheduled cases in a timely manner
  • Adapt to last-minute changes due to surgeon/physician availability, patient conditions, or emergent procedures
  • Communicate all scheduling changes to the appropriate staff and update in electronic medical records
  • Accurately enter and maintain scheduling data in the organization's electronic medical records and scheduling systems.
  • Proactively identify scheduling conflicts/gaps and take action to streamline schedule to enhance efficiency
  • Monitor non-utilization of block time and schedules other cases in vacancies where appropriate
  • Greet physicians and other staff and direct them to appropriate resource
  • Communicates effectively with co-workers and physicians within the unit as well as throughout the organization
  • Consistently attend to multiline telephones, forward messages, transfer calls, page overhead as necessary
  • Maintain compliance with HIPAA, organizational policies, and applicable accreditation and regulatory guidelines
  • In some instances may be responsible for ordering of supplies and assisting with storage.
  • Has a working knowledge of organization wide and unit specific policies, procedures, and standards and complies accordingly
  • Use the organization's secure messaging platform in accordance with departmental protocols, including timely receipt and responses to communications
  • Perform other duties as assigned

Knowledge, Skills, & Abilities:

  • Medical Terminology
  • Electronic Medical Records (EMR) systems
  • Quality assurance and accreditation standards
  • Understanding of HIPAA regulations, patient confidentiality laws and patient rights
  • Effective English communication in verbal and written format
  • Quality work including attention to detail and accuracy
  • Basic computer proficiency
  • Carry out customer service standards
  • Capacity to work independently and as part of a multidisciplinary team
  • Prioritize tasks effectively through managing workload based on urgency and importance
  • Continuously learn and improve through staying up to date on job specific trends, policies, and new technologies
  • Successfully demonstrate organization-wide performance review competencies

Qualifications:

  • Demonstrates eligibility for employment in the U.S.
  • High school diploma or G.E.D. equivalent required
  • Previous experience scheduling in a hospital environment is preferred
  • Previous experience in health care setting is preferred
  • Previous experience with windows-based computer software preferred
  • Must possess a cell phone that interfaces with the organization's secure message system
