The Administrative Assistant will serve as the first point of contact for visitors and callers while providing administrative support to executives, managers, and cross-functional teams. This individual will play a key role in ensuring smooth daily operations and supporting internal coordination across departments.
Key Responsibilities:
- Manage front desk operations, including answering phones, greeting visitors, and directing inquiries
- Provide administrative support to leadership, including scheduling, travel coordination, and expense tracking
- Coordinate incoming and outgoing mail, including postal and interoffice distribution
- Maintain and order office supplies and ensure overall office organization
- Support coordination of meetings, events, meals, and company recognition activities
- Assist with managing shared meeting spaces and office workflow
- Communicate effectively with internal teams to ensure timely information sharing
- Direct inbound and outbound deliveries and collaborate with shipping and purchasing teams as needed
- Promote a safe work environment by following established procedures and reporting concerns
- Perform additional administrative and operational tasks as assigned
Required Qualifications
- High school diploma or equivalent
- 3+ years of administrative or office support experience
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Strong verbal and written communication skills
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
- Demonstrated problem-solving skills and ability to make decisions within established guidelines
- Ability to work both independently and collaboratively within a team
- Strong attention to detail and organizational skills
- Ability to adapt to changing priorities and maintain a positive attitude
- Capability to perform physical tasks such as light lifting (up to 20 lbs), and extended periods of sitting
- Experience supporting multiple departments or teams within a professional environment
