Position Overview The Event Sales Coordinator is a relationship-driven, highly organized, and proactive team member responsible for managing catering leads, building client relationships, creating proposals and contracts, and helping grow our catering business through networking and outreach. This role is ideal for someone who is energetic, positive, professional, and excited by both hospitality and sales. The right candidate is not afraid to pick up the phone, build new relationships, ask questions, prospect new business opportunities, and confidently guide clients through the event planning process. We are looking for someone who thrives in a collaborative environment while also being self-motivated and capable of managing responsibilities independently. What Success Looks Like in This Role The ideal candidate is: A strong communicator who is confident on phone calls, emails, and in-person meetings Highly organized with excellent time management and calendar management skills Comfortable multitasking in a fast-paced environment Tech-savvy and experienced with Microsoft 365 programs including Outlook and Teams Experienced using catering or event software platforms such as Tripleseat, Caterease, or similar CRM/event management systems Detail-oriented and capable of accurately managing event details, contracts, and client communications Positive, coachable, and hungry to learn and grow professionally A team player who values collaboration and contributes to a supportive workplace culture Open-minded, flexible, and solutions-focused Comfortable with networking, prospecting, cold calling, and B2B relationship building Passionate about hospitality, food, and creating memorable client experiences Able to Manage Sales Goal and Budgets Food and catering knowledge is a major plus. Key Responsibilities Sales & Client Management Serve as a primary point of contact for inbound catering inquiries and event leads Build strong client relationships from initial inquiry through event booking Conduct consultations to understand client needs, budgets, timelines, and event vision Manage professional communication through phone calls, email correspondence, and meetings Follow up consistently on proposals, contracts, and pending decisions Guide clients through the planning and booking process with professionalism and hospitality Proposal & Contract Management Create customized catering proposals and event contracts Prepare invoices, payment schedules, and sales documentation Maintain accurate event details and client records within CRM/event software systems Track deposits, signatures, revisions, deadlines, and event milestones Collaborate closely with operations and culinary teams to ensure event accuracy and execution Networking & Business Development Prospect and develop new B2B and community partnerships Attend networking events, venue tours, open houses, tastings, and industry events Support growth initiatives through relationship building and community outreach Help strengthen preferred vendor and venue partnerships throughout the region Administrative & Team Support Maintain organized sales records, calendars, and appointment schedules Utilize Microsoft Outlook, Teams, Excel, and internal systems effectively Support reporting and tracking of booked events and sales activity Coordinate tastings, site visits, and internal sales meetings Contribute ideas, process improvements, and collaborative solutions to support company growth Required Skills & Qualifications Excellent written and verbal communication skills Strong professionalism and customer service skills Experience with Microsoft 365 programs including Outlook, Teams, Word, and Excel Fast and accurate typing and email communication skills Ability to work independently while also collaborating effectively with a team Strong organizational skills and attention to detail Ability to prioritize tasks and manage multiple deadlines Fast Learner Open Mind-Set/Flexible Positive attitude with a willingness to learn and grow Comfortable with sales outreach, networking, and client-facing communication Manage Sales Goal and Budget Preferred Qualifications Previous experience in catering, hospitality, event planning, or sales coordination Experience with Tripleseat, Caterease, or similar event management/CRM software Experience creating event proposals, contracts, and timelines Knowledge of weddings, corporate catering, and social events Food and beverage knowledge or hospitality background preferred What We Offer Competitive salary starting at $55,000/year Bonus and commission opportunities for achieving sales goals 401(k) with company matching Employee discounts Paid training and professional development Opportunities for advancement and career growth Collaborative and supportive team culture Exposure to exciting events, venues, and community partnerships Opportunity to grow into senior sales or leadership roles Benefits 401(k) 401(k) matching Employee discount Paid training Opportunities for advancement Flexible work environment Work-from-home opportunities as approved Company Description About Us Navi’s Catering Kitchen provides full-service catering for all types of events.
