Practice & Support Services Contracts & Partnerships Specialist [Remote]

This remote role supports the financial and administrative coordination of grants, contracts, partnerships, and publicly funded programs. You will oversee contract and grant activities from initiation through execution, compliance, renewal, and closeout, ensuring accurate documentation and timely financial processing. Working closely with program leadership, contractors, grantees, finance teams, and external partners, you will help maintain strong operational and fiscal controls. The position requires careful analysis of expenditures, invoices, reports, and performance information while ensuring alignment with contractual requirements. You will also contribute to audits, reporting, eligibility verification, and process improvement across multiple initiatives. Accountabilities:

• Develop and maintain a comprehensive understanding of unit activities and initiatives, working with program managers to understand the needs, expectations, and requirements of contractors and grantees.
• Coordinate the work of contractors, grantees, and subrecipient grantees, ensuring required activities, documentation, and deliverables are completed accurately and on schedule.
• Manage the completion, collection, and submission of documentation required to obtain budgetary and legal approvals for grants and contracts.
• Oversee the full lifecycle of grants and contracts, including initiation, execution, compliance, renewal, amendments, and closeout.
• Create, manage, and close out purchase orders while receiving, processing, and tracking invoices and ensuring payments are accurate and timely.
• Serve as the primary point of contact for contractors and grantees regarding budgets, invoices, contracts, expenditures, and other financial matters.
• Maintain comprehensive records of contractor and grantee expenditures, ensuring funds are used appropriately, within established timelines, and in accordance with applicable grant or contract terms.
• Support annual audits by working with audit teams to prepare required documentation and provide requested information related to grants, contracts, expenditures, and compliance.
• Participate in quarterly budget meetings with leadership and finance stakeholders to review expenditures, resolve discrepancies, and ensure accurate financial tracking.
• Review monthly or quarterly reports submitted by contractors and grantees for accuracy and compliance with scopes of work, performance measures, and contractual requirements.
• Escalate contract, grant, billing, or financial concerns to the appropriate project leadership and develop or support remediation plans when issues arise.
• Assist with aggregating funding data for state and federal reporting requirements and use data to support informed decision-making.
• Monitor and respond to designated unit and program email inboxes, ensuring timely communication and appropriate follow-up.
• Complete eligibility verification processes for project stipends and work with external partners to confirm project eligibility and provide status updates.
• Provide front desk coverage at headquarters when needed and support other team members to maintain a collaborative and responsive working environment.
• Perform additional duties and responsibilities as assigned in support of the broader team and organizational objectives.

Requirements:

• Associate degree in Business or a related field from an accredited college or university and at least 2 years of experience related to the assignment, or 1 year of experience at the equivalent lower-level Business Support Analyst position.
• Equivalent combinations of education, professional or internship experience, training, or certifications may be considered where they provide the knowledge and skills necessary to successfully perform the role.
• Experience coordinating multiple complex projects simultaneously, managing timelines, documentation, and competing priorities with accuracy and consistency.
• Experience managing and documenting fiscal processes, including budgets, invoices, expenditures, purchase orders, grants, contracts, or related financial activities.
• Strong data-management and analytical capabilities, including experience organizing and reviewing information to support reporting and decision-making.
• Demonstrated ability to act as a liaison between contractors, vendors, external partners, and internal agency or organizational stakeholders.
• Strong customer service orientation, with a proactive, responsive, and solutions-focused approach to supporting internal and external customers.
• Advanced proficiency in Microsoft Excel for managing, organizing, reviewing, and analyzing data, along with proficiency in Microsoft Outlook, Word, and PowerPoint.
• Ability to use online meeting and collaboration platforms effectively and adapt to technology-driven administrative processes.
• Excellent written and verbal communication skills, including strong spelling, grammar, presentation, and professional correspondence capabilities.
• Strong critical thinking, judgment, problem-solving, organization, attention to detail, flexibility, and initiative.
• Ability to work independently while collaborating effectively with leadership, cross-functional teams, contractors, grantees, and external partners.
• Ability to work under pressure, establish priorities, meet strict deadlines, and manage sensitive or detailed information with discretion.
• Experience working within a government agency or similar public-sector environment is preferred.
• Must be able to perform the applicable physical, cognitive, and environmental requirements of the position, with reasonable accommodation where appropriate.
