Position: Fleet Assistant – Part-TimeDepartment: TransportationReports To: Transportation Manager / Fleet CoordinatorEmployment Type: Part-TimeFLSA Status: Non-ExemptSchedule: Part-Time; Schedule determined by departmental operational needsLocation: Baltimore, MarylandPay Rate: $19.00 / HourlyPOSITION SUMMARYThe Fleet Assistant is a vital member of the Transportation Department responsible for supporting the safe, organized, clean, and efficient operation of The League for People with Disabilities' vehicle fleet.Under the direction of the Transportation Manager or designee, the Fleet Assistant provides hands-on administrative and operational support involving vehicle cleanliness, inspections, supplies, documentation, scheduling support, basic fleet organization, and coordination of routine vehicle maintenance.This position helps ensure that League vehicles are properly maintained, organized, and prepared for daily transportation operations that support participants, programs, staff, and the overall mission of The League.The ideal candidate is dependable, organized, safety-conscious, detail-oriented, and comfortable working both independently and as part of a team.ESSENTIAL FUNCTIONS & RESPONSIBILITIESFleet OperationsAssist the Transportation Department with the daily organization and preparation of League vehicles.Help ensure vehicles are clean, orderly, properly stocked, and ready for scheduled transportation activities.Assist with vehicle staging and parking according to departmental procedures.Help monitor vehicle availability and communicate vehicle concerns to the Transportation Manager.Assist with coordinating vehicles for routine maintenance, inspections, detailing, fueling, and repairs.Maintain accurate records related to fleet activities.Assist with organizing vehicle keys, equipment, supplies, and related fleet materials.Support Transportation staff with daily operational needs. Vehicle Inspection & Maintenance SupportAssist with routine vehicle condition checks as assigned.Report observed vehicle concerns, damage, warning lights, unusual sounds, or other potential safety issues to the Transportation Manager.Assist with documenting vehicle condition before and after use when required.Help coordinate routine preventive maintenance appointments.Assist with taking vehicles to authorized service providers when specifically assigned and legally permitted.Ensure vehicles are returned to designated locations following maintenance or service.Help maintain organized maintenance records and service documentation.Do not perform mechanical repairs unless specifically trained, authorized, and qualified to do so.Vehicle Cleanliness & ReadinessAssist with maintaining the cleanliness and appearance of League vehicles.Clean and sanitize high-touch surfaces according to organizational procedures.Remove trash and unnecessary materials from vehicles.Assist with maintaining appropriate supplies such as cleaning products, paper products, safety supplies, and other approved vehicle materials.Report missing or damaged vehicle equipment.Assist with preparing vehicles for daily, weekly, seasonal, or special transportation needs. Documentation & Administrative SupportMaintain accurate fleet logs, inspection forms, maintenance records, fuel records, and other assigned documentation.Assist with tracking vehicle mileage and routine service intervals.Assist with maintaining vehicle files and documentation.Enter or update information in approved electronic systems when assigned.Communicate outstanding vehicle issues to the Transportation Manager.Assist with organizing Transportation Department paperwork.Maintain confidentiality of organizational, participant, employee, and transportation-related information. FUEL & SUPPLY MANAGEMENTAssist with monitoring vehicle fuel levels.Fuel League vehicles as assigned and in accordance with organizational procedures.Report fuel card issues or discrepancies.Assist with monitoring fleet supplies.Notify the Transportation Manager when supplies need to be replenished.Maintain organized storage of Transportation Department supplies and equipment. SAFETY & COMPLIANCEThe Fleet Assistant is expected to maintain a strong commitment to safety.Responsibilities include:Follow all League safety policies and Transportation Department procedures.Report unsafe vehicle conditions immediately.Report accidents, damage, injuries, or other safety incidents according to organizational procedures.Follow applicable traffic and transportation laws when operating a vehicle.Use appropriate personal protective equipment when required.Follow safe lifting, pushing, pulling, and material-handling practices.Never operate a vehicle when impaired or otherwise unable to operate it safely.Follow all applicable requirements concerning League vehicles and transportation operations.Maintain confidentiality regarding participant and employee information.
