Service Scheduler / Service DispatcherPosition Overview

We are seeking a highly organized and customer-focused Service Scheduler / Service Coordinator to join our team in Janesville, WI and Madison WI/Prairie du Sac

The Service Scheduler will be responsible for coordinating customer service requests, scheduling field technicians, managing daily service appointments, and ensuring jobs are assigned and completed efficiently. This position requires excellent communication, organization, problem-solving, and multitasking skills.

The ideal candidate will be comfortable working in a fast-paced environment and communicating with customers, technicians, and internal team members throughout the service process.

Key Responsibilities

• Receive and coordinate incoming customer service requests by phone and email.

• Schedule service calls, repairs, maintenance appointments, and other field-service activities.

• Assign technicians based on availability, location, workload, and required skills.

• Maintain and update daily technician schedules and routes.

• Communicate appointment details, arrival times, and schedule changes to customers.

• Coordinate with technicians regarding job status, priorities, and customer requirements.

• Monitor open service calls and follow up on jobs that require additional work or scheduling.

• Handle appointment changes, cancellations, and urgent service requests.

• Create and maintain accurate work orders, service records, and customer information.

• Ensure technicians have the necessary information and materials to complete assigned jobs.

• Communicate with customers regarding service updates, scheduling, and follow-up requirements.

• Coordinate with management and other departments to resolve scheduling or service issues.

• Maintain accurate records of completed and outstanding service work.

• Provide professional and courteous customer service throughout the service process.

• Assist with administrative duties related to service operations as needed.

Qualifications

• Previous experience in service scheduling, dispatching, coordination, customer service, or a similar role preferred.

• Strong organizational and time-management skills.

• Excellent verbal and written communication skills.

• Ability to manage multiple service calls and priorities simultaneously.

• Strong attention to detail and accuracy.

• Ability to work effectively in a fast-paced environment.

• Comfortable communicating with customers and field technicians.

• Strong problem-solving and decision-making skills.

• Proficiency with computers, email, scheduling systems, and Microsoft Office or similar software.

• Ability to remain calm and professional when handling schedule changes or customer concerns.

• Experience in a field-service environment such as garage doors, HVAC, plumbing, electrical, construction, or equipment service is a plus.

• Garage door industry experience is preferred but may not be required for the right candidate.
