Role Overview

This role provides supplemental support for the Substation Design Contractor Oversight team. The position involves handling coordination, administrative, and financial tracking tasks to allow oversight staff to focus on quality, schedule, and financial performance. This role serves as a backup to the full-time Transmission Analyst for invoice and work authorization review, but does not involve engineering review or technical judgment.

Key Responsibilities

• Perform first-pass review of contractor invoices and work authorizations against contract terms, scope, and funding limits.
• Help maintain spend tracking against contract authorized amounts and individual project amounts.
• Gather recurring firm availability updates and pull routine metrics for supervisor and manager review.
• Maintain as-built and field change records, ensuring transmittals are captured correctly.
• Coordinate onboarding and offboarding for contract personnel, including access requests and account management.
• Maintain a master roster of active contractor personnel and track their training and qualifications.
• Schedule and coordinate meetings with contract firms and internal stakeholders, including managing logistics and materials.
• Take notes, capture action items, and track them to closure for various team and contractor meetings.

Required Qualifications

Education: An Associate's degree in business, accounting, finance, or a related field is preferred; equivalent relevant experience will be considered.

Experience: 2+ years of experience in project support, invoice or contract administration, accounting, or business administration.

Technical Skills: Proficiency in Excel, including pivot tables, as well as Outlook, Teams, SharePoint, Word, and PowerPoint is required.

Preferred Qualifications

• Experience with enterprise financial or work management systems such as Maximo, Oracle, or SAP.
• Familiarity with CAMP or MOBI is a plus.

Work Environment

This is an office-based role in a temperature-controlled indoor setting. The position requires being onsite 4 days per week. The work primarily involves computer use and sitting for extended periods. No lifting, climbing, ladder work, or navigating uneven surfaces is required.
