The Role
What This Role Is, and Is Not This role is:
- A full-scope operational leadership position covering facilities, compliance, leasing, resident relations, and people management
- A compliance-heavy environment requiring fluency in HUD, Rent Stabilization Law, NYC Housing Code, and funder agreements
- A people-first role, managing a small facilities team and serving a racially, ethnically, and socioeconomically diverse resident community
- A role that requires genuine on-call availability for after-hours and weekend emergencies
- An opportunity to contribute to asset management, capital planning, and portfolio-wide strategy alongside senior leadership
- A remote or hybrid position, or one where presence is optional
- A pure leasing or administrative property management role with limited operational scope
- A fit for someone who needs clean separation between work hours and emergency response
- A role where compliance is someone else's problem
- A stepping stone for someone without prior supervisory experience in residential property management
- 10 or more years of experience in real estate and property management, with meaningful time spent in affordable or regulated housing
- 2 or more years of direct supervisory experience, managing maintenance or facilities staff
- Working knowledge of HUD regulations, NYC Housing Maintenance Code, Rent Stabilization Law, and regulatory agreement requirements
- Proficiency in Yardi and SiteCompli, or comparable property management platforms, plus Microsoft Office and Google Suite
- Strong written and verbal communication skills, with the ability to work effectively across a diverse range of residents, vendors, funders, and internal stakeholders
- Ability to manage multiple competing priorities without losing detail or follow-through
- A commitment to confidentiality, accountability, and community service that goes beyond the transactional
- A bachelor's degree is preferred but not required. Demonstrated ability to do the job matters more than the credential.
Property Operations and Facilities
- Oversee day-to-day operations across the portfolio, including maintenance, janitorial, life-safety systems, and tenant services, in compliance with NYC Housing Maintenance Code and agency policy
- Manage work orders through Yardi, assign tasks to building staff, and follow through to confirm timely and quality completion
- Conduct move-in and move-out inspections, safety meetings, and daily safety log maintenance
- Monitor vendor contracts, review and bid out work as needed, and verify that invoices match contract pricing
- Ensure properties remain compliant with HUD, Rent Stabilization Law, NYC Housing Code, and all applicable regulatory and funder agreements
- Prepare and submit mandatory building reports accurately and on time, including city, state, and federal compliance filings
- Enforce lease provisions, monitor closed transactions for legal compliance, and coordinate insurance requirements for tenants and vendors
- Stay current on policy and code changes and communicate updates to the team promptly
- Prepare, review, and approve inventory budgets, purchase orders, and expenditure reports on a monthly and quarterly basis
- Contribute to capital budget development, including a five-year facility improvement and cost reduction plan
- Track and report on building energy consumption and other data required for accurate facility management assessment
- Support feasibility planning, refinancing, and capital needs assessment at the portfolio level alongside the Director
- Directly manage two Supers and three Porters, holding bi-weekly one-on-ones, regular team meetings, and timely performance evaluations
- Lead hiring, onboarding, and orientation for new team members, completing on-site orientation within two days of hire
- Identify team member strengths, assign stretch opportunities accordingly, and actively support professional development
- Model the communication standards, professionalism, and accountability expected across the team
- Welcome and show prospective commercial and residential tenants through the property, applying our client leasing practices
- Resolve resident concerns and maintenance requests promptly, following through to satisfactory resolution and escalating when appropriate
- Monitor market and seasonal trends to inform leasing strategy and meet occupancy goals
- Maintain professional, respectful relationships with residents, vendors, and internal colleagues at all times
