Position Summary

We are seeking a dependable and organized Bilingual Administrative Assistant to join our staffing agency team. This position will support daily office operations, assist with recruiting and onboarding temporary employees, communicate with clients and candidates, and provide excellent customer service.

The ideal candidate is fluent in English and Spanish, highly organized, detail-oriented, and comfortable working in a fast-paced staffing environment.

Key Responsibilities

• Answer phones, respond to emails, and greet visitors in a professional manner.
• Provide customer service and communicate effectively with clients, candidates, and temporary employees.
• Assist recruiters with sourcing, screening, and scheduling candidates.
• Conduct candidate pre-screening and assist with interviews and onboarding.
• Communicate job assignments, schedules, start dates, and workplace information to temporary employees.
• Maintain accurate employee and candidate records.
• Assist with completing employment paperwork, I-9 documentation, and other onboarding forms.
• Enter and update employee information in staffing and payroll systems.
• Assist with timekeeping and resolve basic timecard questions.
• Follow up with temporary employees regarding attendance, assignments, and availability.
• Communicate with Spanish-speaking employees and clients as needed.
• Assist with job fairs, hiring events, orientations, and recruiting activities.
• Prepare reports, spreadsheets, and other administrative documents.
• Perform general office and administrative duties as needed.
• Maintain confidentiality of employee and client information.

Qualifications

• Bilingual in English and Spanish, both written and verbal.
• Previous administrative, recruiting, staffing, customer service, or office experience preferred.
• Strong communication and interpersonal skills.
• Excellent organizational and time-management skills.
• Ability to multitask and prioritize in a fast-paced environment.
• Proficient with Microsoft Office, including Word and Excel.
• Strong attention to detail and accuracy.
• Professional, dependable, and team-oriented.
• Ability to handle confidential information appropriately.

Preferred Experience

• Staffing agency or recruiting experience.
• Experience working with temporary employees.
• Experience with payroll or timekeeping systems.
• Experience conducting job fairs or high-volume recruiting.

Schedule

Full-time, Monday–Friday.
