Marketing PO / Invoice Coordinator

About the RoleA well-known health and wellness company is looking for a temporary Marketing PO / Invoice Coordinator to serve as the critical bridge between our marketing teams and finance. This is not a standard AP or admin role — it requires someone with genuine marketing fluency who can navigate a fast-paced, cross-functional environment, create structure where little exists, and relentlessly drive invoices and purchase orders across the finish line between several departments. You will own the end-to-end tracking and coordination of high-volume invoices across Brand, PR, Creative/Production, and Marketing Ops — ensuring POs are created, vendors are paid on time, and nothing slips through the cracks.This role is one full day a week (Tuesdays) in office in El Segundo, CA. Core ResponsibilitiesManage high-volume invoice intake and processing across multiple departments.Coordinate between Brand, PR, Creative/Production, Marketing Ops, and Finance to ensure seamless invoice workflows.Track invoice and PO status, initially without direct system visibility, by building and maintaining a self-managed tracking system (Excel or equivalent).Follow up persistently with finance and internal stakeholders to confirm POs are created, invoices are processed, and vendors are paid on time.Proactively move work forward — anticipate blockers rather than waiting for issues to surface.Identify and implement process improvements to reduce manual follow-up and improve visibility across teams.What “Marketing Fluency” Means HereThis role does not require running campaigns or managing marketing deliverables. It does require understanding how marketing teams function together, so you can coordinate effectively without needing every workflow explained to you.Familiar with core marketing terminology: brand, production, PR, talent, etc.Understands the types of deliverables tied to invoices (e.g., talent contracts, voiceovers, animation work, media buys).Can quickly assess invoice context and route questions or issues appropriately without disrupting team workflows.Must-Have QualificationsProven experience in high volume invoice processing and/or purchase order coordination.Experience supporting cross-functional teams in a fast-paced environment.Advanced Excel skills — comfortable building and maintaining tracking systems from scratch.Experience with ERP systems; Microsoft Dynamics preferred (flexibility for equivalent platforms).Highly detail-oriented, organized, and able to manage multiple concurrent workstreams.Comfortable operating in ambiguous, evolving processes with incomplete system access.Proactive and persistent — not afraid to follow up repeatedly to keep work moving.LOOKING TO HIRE ASAP! $37-38/hr This is a temporary position for up to 4 months No relocation offered Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs.
