Job Details Job Title: Accounts Payable Supervisor Location: Beusa The Woodlands Corporate Office - The Woodlands, TX 77380 Level: Experienced Position Type: Full Time Education Level: 4 Year Degree Travel Percentage: up to 10% (Amount of Travel Required: Less than 5%) Job Shift: Day Department: Accounting/Finance Job Status: Full-Time FLSA Status: Salary-Exempt Reports To: Procure to Pay Manager Work Schedule: Monday - Friday, 8 a.m. – 5 p.m. Positions Supervised: Accounts Payable Analyst, Accounts Payable AIP Level: Level 6 POSITION SUMMARY Compute, classify, and record numerical data to keep financial records complete. Perform any combination of routine calculating, posting, and verifying duties to obtain primary financial data for use in maintaining accounting records. Work involves scheduling and directing work assignments of clerical employees, meeting deadlines for data processing and financial requirements. ESSENTIAL FUNCTIONS Interview prospective employees and choose the best applicant based on skills, knowledge, and abilities required for the job. Train and oversee employees involved in billing functions. Direct assigned tasks and provide assistance as needed. Assist with performance evaluations. Oversee reports regarding cash flow; ensure correct payments are made in a timely manner. Develop guidelines for proper handling and coding of invoices to maintain general ledger expense account and inventory records. Analyze expense reports and other invoices for accuracy and eligibility for payment. Verify payments before controllers’ signature is added by reviewing checks and vouchers. Reconcile accounts payable total and general ledger with other applicable records (e.g., subsidiary vendors ledger). Facilitate correct and timely preparation of budget reports and purchase journals. Ensure proper recordkeeping of purchases for use in tax preparation and periodic audits. Ensure employer identification numbers or social security numbers have been collected from all vendors for the payables clerk to prepare and submit 1099s. Ensure proper maintenance, filing, and storage of records in case of audits. Perform other related duties as assigned to assist with successful operations and business continuity. QUALIFICATIONS (POSITION REQUIREMENTS) Must be legally authorized to work in the United States without the need for sponsorship. Must be at least 18 years of age or older. Successfully pass all applicable general pre-employment testing, including but not limited to background check, pre-employment drug screening, pre-employment fit tests, pre-employment aptitude and/or competency assessment(s). Possess a valid U.S. Driver's License. Employment is contingent upon meeting company driving standards, including 3-year driving history and an acceptable Motor Vehicle Record (MVR) in accordance with Company policy. Daily in-person, predictable attendance in The Woodlands, TX. EDUCATION / EXPERIENCE LEVEL Bachelors degree in Accounting or Business Administration, with one year of experience in an accounting office; OR three or four years of accounting experience with at least two years in a managerial or supervisory capacity. QUALIFICATIONS, SKILLS, COMPETENCIES, AND ABILITIES Excellent verbal and written communication skills. Proficient in accounting software and Microsoft Office Suite or related software. Thorough understanding of accounts payable functions. Excellent supervisory and analytical skills. Excellent organizational skills and attention to detail. Ability to motivate staff. The Accounts Payable Supervisor works indoors in an office setting, primarily sitting for extended periods at a desk station, keyboarding and using repetitive motions with wrists, hands, and or fingers. They will also need to speak clearly and audibly, as well as have the ability to hear, understand, and distinguish speech and other sounds (e.g., building alarms) from in-person speech, telephone, or other remote speech. No adverse environmental conditions are expected. While in the office, the Accounts Payable Supervisor may be called upon to stand, kneel, push, pull, reach overhead, stoop, crouch, climb, and lift; therefore, the Accounts Payable Supervisor should be able to lift 25 lbs. independently. Work hours may include early morning, late evenings, and weekends, depending on business necessity.
