Automotive Warranty Administrator

Mankato Motors is hiring a full-time Automotive Warranty Administrator to support our Service and Accounting departments. This position is responsible for processing manufacturer warranty claims, extended warranty and service contract claims, fleet claims, and accounts receivable (A/R). We’re looking for someone who is organized, detail-oriented, comfortable working with numbers, and able to keep claims and receivables moving accurately and efficiently. What We Offer Medical and dental insurance Vision insurance Health Savings Account Life insurance Short-term disability insurance 401(k) with company match Paid training Paid time off Employee discounts on products and services Career growth opportunities Stable, full-time weekday schedule Supportive, team-oriented dealership environment What You’ll Do Prepare, process, and submit manufacturer warranty claims accurately and within required deadlines Process extended warranty and service contract claims Process and manage fleet claims and billing Review repair orders (ROs) and supporting documentation for completeness and accuracy Ensure warranty claims meet manufacturer requirements before submission Track outstanding warranty claims from submission through payment Follow up on unpaid, rejected, or denied warranty claims Research and resolve claim discrepancies, denials, and chargebacks Maintain accurate warranty claim records and documentation Reconcile warranty payments with submitted claims and repair orders Manage accounts receivable (A/R) and monitor outstanding balances Post and reconcile customer and warranty payments Follow up on outstanding receivables and assist with account reconciliation Research and resolve billing and payment discrepancies Work closely with the Service Department and Accounting Department to resolve warranty, billing, and receivable issues Maintain organized and accurate dealership accounting records Assist with additional warranty, accounting, and administrative responsibilities as needed What We’re Looking For Previous automotive dealership warranty, service, accounting, or accounts receivable experience preferred Automotive warranty claims experience strongly preferred Experience processing manufacturer or extended warranty claims is a plus Understanding of repair orders, warranty documentation, and dealership service processes preferred Accounts receivable or dealership accounting experience is a plus Experience with a dealership management system (DMS) is preferred Strong attention to detail and accuracy Comfortable working with numbers, invoices, payments, and financial records Strong computer and data-entry skills Excellent organizational and time-management skills Ability to manage multiple claims and priorities while meeting deadlines Strong written and verbal communication skills Ability to research discrepancies and solve problems independently Dependable, professional, and able to handle confidential information Do You Have Automotive Dealership Experience?
