As we grow, we're looking for an organized, solutions-oriented HVAC Dispatcher who can help keep our technicians moving, our customers informed, and our daily operations running smoothly. About the Role The HVAC Dispatcher serves as a central communication and coordination hub for Astra Air & Repair's field operations. You'll manage incoming service requests, schedule and dispatch technicians, monitor daily workloads, communicate with customers and internal teams, and help ensure every service request moves efficiently from initial contact through completion.This is a fast-paced role requiring strong judgment, organization, urgency, and communication. The ideal candidate understands how to balance customer needs with technician availability, skill set, geography, and operational priorities—and knows how to quickly adjust when the schedule changes. What You’ll Do Receive incoming calls and service requests from new and existing customers for HVAC and other home service needs. Schedule, coordinate, and dispatch technicians based on availability, skill set, urgency, geographic routing, and operational priorities. Actively monitor daily dispatch boards, appointments, and technician schedules to keep work on track. Coordinate emergency calls, reschedules, follow-up appointments, delays, and schedule changes. Review work orders for accuracy, completeness, and proper prioritization before dispatch. Optimize technician routes and balance workloads to improve productivity and response times. Serve as a key point of contact between customers, technicians, vendors, property managers, and internal teams. Provide timely and professional updates regarding appointment windows, delays, scheduling changes, and job statuses. Manage high-volume inbound and outbound calls, emails, texts, and system communications while maintaining professionalism and urgency. Maintain accurate work order notes, scheduling information, and service documentation in Housecall Pro and Property Meld . Work closely with Maintenance Coordinators, Property Managers, HVAC technicians, vendors, and leadership to resolve scheduling and service issues. Identify scheduling inefficiencies, recurring service issues, communication gaps, and operational bottlenecks and proactively escallate solutions. Support evolving workflows, processes, and operational needs as Astra Air & Repair continues to grow. What We’re Looking For 2+ years of experience in dispatching, scheduling, maintenance coordination, customer service, or operational support preferred. Experience with Housecall Pro and Property Meld strongly preferred. HVAC, home services, property management, maintenance, or field service experience strongly preferred. Excellent verbal and written communication skills. Strong organizational skills with exceptional attention to detail. Ability to prioritize multiple urgent requests in a fast-paced environment. Strong problem-solving and critical-thinking skills. Comfortable communicating with customers and field technicians during high-pressure situations. Tech-confident and able to quickly learn new systems and workflows. Proficiency with Google Workspace and digital communication platforms.
