Outreach Programs Administrator

Overview

We are seeking a dynamic and organized Outreach Coordinator to serve as one of the key representatives of our research center. This role is crucial in planning, organizing, and executing a wide range of community events, such as the Sustainability Picnic, Earth Day, and Beyond the Farm, as well as representing the Bee Center at various events hosted by local K-12 schools, community service organizations, and private businesses upon request. The Outreach Coordinator will also be responsible for giving tours of the lab to visiting groups as part of these community engagements. Managing events focused on the Bee Center's stakeholders is also a responsibility of the Outreach Coordinator.

The Outreach Coordinator will be responsible for managing the lab's outreach inventory, which includes items such as hats, t-shirts, honey, and other event materials. This responsibility extends from ordering supplies to bottling honey and interfacing with buyers, as well as maintaining detailed digital records of inventory, sales, and tracking associated tasks. In addition to outreach duties, the candidate will assist in the field as needed, helping to maintain honey bee colonies and contributing to the lab's research initiatives. This is a collaborative position that requires excellent communication and organizational skills, and the ability to work across diverse community settings.

Responsibilities

Organizing digital records, physical equipment, and related activities, both independently and in collaboration with other lab members. This includes maintaining accurate and up-to-date digital documentation and ensuring effective coordination of resources and tasks.

Assisting with lab and field experiments with insect pollinators, including those conducted in remote or harsh environments, as needed by researchers and the beekeeping team.

Assisting with the maintenance of honey bee colonies, as required by researchers and the beekeeping team.

Assisting the lab manager and technicians with day-to-day tasks, including purchasing and general support.

Maintaining accurate inventory and purchasing records for merchandise, including hats and shirts, as well as honey products. This involves tracking stock levels, processing orders, and ensuring timely replenishment of inventory.

Designing promotional materials for merchandise sales, including hats and shirts, as well as advertising seasonal honey sales events. This involves photographing merchandise and implementing marketing strategies to enhance visibility and drive sales across

Directing the day-to-day activities of undergraduate students, prioritizing tasks based on the shifting needs of the lab in coordination with other lab members. This includes assigning responsibilities, providing guidance, and ensuring alignment with overall lab objectives.

Bottling honey as needed for vendors, events, and annual honey sales.

Communicating to stakeholders:

• Managing relationships with existing honey customers and responding to inquiries for new orders. This includes fostering relationships with potential new and recurring customers, ensuring consistent communication, managing expectations, and handling order logistics.
• Fostering and maintaining interdepartmental relationships within the college, including coordinating honey sales through on-campus vendors, hosting lab tours to other departments, and occasionally presenting at events or functions hosted by other departments or campus venues

Developing consistent Bee Center branding and messaging to the public. This may include standardizing the messaging in outgoing communications and literature.

Producing press releases and other public-facing documents regarding the activities of the Bee Center.

Assisting with social media posts and development of appropriate content.
