Office Assistant I - Communications - Full Time Evening Shift (4:00 PM - 12:30 AM)

Position Summary Office Assistants I in the Communications department provide extensive public contact via phone and in person. Responsibilities include delivering adverse decisions, coordinating with other agencies or program areas to obtain or provide information, and working with clerical and program staff. The title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS) and may be filled via a non‑competitive appointment for the duration of the program, with the possibility of becoming permanent non‑competitive or competitive status later. Duties Answer calls within the first ring and place yourself on unavailable when you cannot take the next incoming call. Properly greet and identify yourself by first name when answering each and every call. Interact with each caller in a timely, courteous and professional manner, regardless of the emotional state or conduct of the caller. Search by multiple names, titles and categories to identify the proper person, department, procedure and on‑call schedule. Execute all codes and emergencies according to the department’s procedures. Swap out pagers, update paper status and schedules as requested. Complete each transaction while the caller remains on the phone with you to ensure accuracy and eliminate call backs. Open and follow all notes in the Directory, Procedures and On‑Call Schedules before executing each request. Read back to the caller the first name, last name and department of the person you are about to connect to, to prevent wrong connections. Assist in training all new personnel. Maintain satisfactory attendance. Perform other clerical duties as necessary. Qualifications MUST have taken and passed the specific job‑related Civil Service exam and be reachable on the appropriate Civil Service list. Position may be designated 55 b/c and is subject to verification of applicant eligibility. Additional Requirements (prior to start date) Successfully complete a pre‑employment physical examination and obtain medical clearance from Stony Brook Medicine’s Employee Health Services. Complete electronic reference checks with a minimum of three professional references. Successfully complete a 4‑panel drug screen. Meet regulatory requirements for pre‑employment screenings. Provide a copy of any required New York State license(s)/certificate(s). Compensation Salary range: $36,232 per year. The specific salary offer will be based on the candidate’s validated years of comparable experience. Locations and supplemental pay: location pay for UUP, CSEA & PEF full‑time positions ($4,000); inconvenience pay/supplemental shift differential ($575). The position offers generous leave, health plans, and a state pension that add to the overall compensation.
