High School Registrar

To assist building staff in organizing and maintaining ESL data to help educators make decisions about the supports and services needed for English Learners and students identified as Language Minority Students.

The primary purpose of the High School Registrar is to manage and oversee all aspects of student records, enrollment, and academic transcripts within the high school. This role ensures the accurate and timely maintenance of student information, including registration, grades, attendance, and graduation requirements. The Registrar serves as a critical point of contact for students, parents, faculty, and administrative staff, providing essential support and guidance in relation to academic records, class schedules, and compliance with district, state, and federal regulations. Additionally, the Registrar plays a key role in upholding the integrity of the school's data systems and ensuring that all records are managed with the highest level of confidentiality and accuracy.

Preferred Qualifications

• Strong computer skills with proficiency in accessing multiple systems and applications
• Strong oral and written communication; bilingual/biliterate (English/Spanish) preferred
• Successful experience in collaborative work with individuals and groups from diverse backgrounds
• Flexibility, multitasking skills

Duties and Responsibilities

Provide data for ESL Teams - Identifying and resolving data issues for assigned buildings, utilizing eSchool and EllevationProviding responsive data support

Administer the ELPA Screener - Maintain test securityUpdate intake Dashboard daily for each buildingSchedule LPACs in ESL database and send email reminders to ESL designees when scheduledMaintain backup files of LPACs within student data files

Communicate EL decisions and language proficiency assessment results to parents/guardians - Printing, sorting, and mailing Parent letters for all ESL Annual Reviews, Monitoring, and ELPA Eligible LPACsDistribute individual ELPA summative score reports to buildings

Maintain individual EL growth spreadsheets - Complete Timeline to Proficiency worksheets for each EL.Update entries in database related to student growth

Complete other duties - Provide responsive support throughout the year for the ESL department or the ESL team and administrators at buildings, particularly as related to ESL records and dataWelcome families to FHSHelp translate and award credits for transcripts from outside the U.S.

Other duties as assigned - Manage the student enrollment and registration process, including the collection and verification of required documentation.Process requests for student transcripts, academic records, and verification of enrollment.Process student transfers, withdrawals, and re-entries in compliance with district policies.Prepare and distribute transcripts to colleges, universities, and employers as requested by students and alumni.NCAAPrepare and verify graduation lists, diplomas, and other related documentation.Work closely with counselors, teachers, and administrators to support student academic success and address any issues related to enrollment or academic progress.
