Experience with lease administration and real property management. Ability to read, interpret, and administer commercial lease agreements. Experience tracking lease renewals, expirations, critical dates, and lease obligations. Strong knowledge of lease abstraction and lease documentation. Experience preparing and processing real property agreements and execution packages. Strong attention to detail with the ability to review documents for accuracy and completeness. Experience maintaining electronic property records and lease databases. Strong Microsoft Excel skills, including formulas, pivot tables, and data reconciliation. Excellent organizational, communication, and document management skills. Ability to coordinate with multiple internal departments and external stakeholders. Secondary (Good to Have) Experience using Archibus , Quorum , MRI , Yardi , SAP RE , or CoStar . Knowledge of CAM (Common Area Maintenance) reconciliations. Experience with lease payment processing and financial tracking. Understanding of lease economics, cash flow analysis, and Net Present Value (NPV). Experience recording legal documents with county or land registries. Knowledge of corporate real estate operations. Position Overview The Lease Administrator is responsible for supporting the organization's real estate operations by preparing lease documentation, coordinating execution of agreements, maintaining property records, processing lease payments, and ensuring the accuracy of lease information within real estate management systems. The ideal candidate possesses strong lease administration experience, exceptional organizational skills, and the ability to manage multiple priorities while working collaboratively across departments. Lease Administration Prepare execution packet requests and process incoming and outgoing lease documentation. Review lease agreements and real property documents for completeness, accuracy, and compliance. Prepare lease agreements and supporting real estate documentation. Process fully executed agreements and ensure proper execution by internal and external parties. Track lease renewals, expirations, options, and other critical dates. Document & Records Management Maintain land records, lease files, and real property agreements. Organize and maintain electronic property records using Archibus and other lease management systems. Record and file executed real property agreements with appropriate land registries. Ensure all lease documentation is properly stored and easily accessible. Prepare check requests and support lease payment processing. Coordinate lease payments to landowners. Assist with rent tracking, lease obligations, and financial documentation. Support budget tracking and reconciliation activities related to lease administration. Systems & Data Management Maintain lease information within Archibus, Quorum, spreadsheets, and related databases. Coordinate the integration of new real estate projects into lease management systems. Review and validate property information for accuracy. Maintain accurate lease abstracts and property records. Cross-Functional Collaboration Work closely with Facilities, Engineering, Construction, Legal, Accounting, and Treasury teams. Support departmental real estate initiatives and administrative functions. Assist with special projects and process improvement initiatives as needed. Minimum Qualifications Bachelor's Degree or equivalent work experience. Experience administering commercial leases or real estate agreements. Strong document management and organizational skills. Experience maintaining lease databases and property records. Proficiency with Microsoft Office, particularly Excel. Excellent written and verbal communication skills. Ability to manage multiple priorities in a fast-paced environment. Preferred Qualifications Experience with Archibus, Quorum, MRI, Yardi, SAP RE, or CoStar.
