Sr Manager, HR Systems & Operations

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Sr Manager, HR Systems & Operations based in the United States.

This is a senior HR operations and technology leadership role responsible for the reliable administration and continuous improvement of core HR systems and processes.
You will oversee HR technology, data, and workflows supporting payroll, benefits, talent management, compliance, and the full employee lifecycle.
The role combines hands-on systems expertise with people leadership, operational execution, and cross-functional partnership.
You will work closely with HR, IT, Finance, Payroll, Legal, and external vendors to resolve issues and strengthen operational controls.
A major focus will be maintaining accurate, secure HR data while identifying opportunities to automate workflows and reduce manual effort.
You will also lead reporting, compliance administration, employee lifecycle processes, and service delivery across a broad HR operations portfolio.
Success will be measured through system accuracy, operational reliability, compliance, process improvements, and stakeholder satisfaction.

Accountabilities:

• Lead day-to-day administration of HR systems, including configuration, troubleshooting, user setup, training, support, access management, and permissions.
• Manage an HR technology portfolio that includes HRIS, recruiting, learning, employee engagement, workforce planning, compliance, and related HR platforms.
• Coordinate system integrations, testing, implementation, monitoring, troubleshooting, and data-flow validation across HR and business applications.
• Maintain HR data integrity by reconciling information across HRIS, payroll, benefits, and Finance systems, conducting recurring audits, and resolving discrepancies.
• Manage HR systems access controls, approval workflows, security protocols, and vendor escalations in partnership with IT and other stakeholders.
• Maintain SharePoint and employee-facing HR intranet resources, including content, permissions, organization, navigation, and user support.
• Monitor system performance and recurring issues and coordinate timely resolution with internal teams and external vendors.
• Oversee new-hire onboarding activities, including employee data entry, Form I-9 verification, communications, and coordination across HR, hiring managers, IT, Finance, and Payroll.
• Manage employee offboarding processes, including HRIS transactions, access and equipment notifications, final documentation, benefits, payroll coordination, and completion tracking.
• Coordinate immigration and work-authorization administration, including documentation, case milestones, renewals, deadlines, employees, managers, counsel, and vendors.
• Manage employee relocation processes, including vendor coordination, approvals, communications, reimbursements, and supporting documentation.
• Review and process employee action forms and maintain accurate employee changes across HRIS and downstream systems.
• Administer required employee training programs, maintaining assignments, completion records, reminders, and escalation reporting.
• Document and maintain HR operations procedures to support consistent, compliant, and timely execution.
• Identify opportunities to streamline workflows, reduce manual work, improve accuracy, and measure the impact of process improvements.
• Research and resolve employee and stakeholder inquiries related to HR systems, policies, records, and operational processes.
• Support benefits administration, including enrollment activities, employee transitions, reconciliations, communications, and issue resolution.
• Produce recurring and ad hoc HR reporting covering headcount, hiring, turnover, payroll, benefits, compensation, and other workforce metrics.
• Build and maintain dashboards and reporting tools that provide accurate, actionable insights for HR and business leaders.
• Conduct regular HR data audits, investigate discrepancies, implement corrections, and document findings.
• Partner with Total Rewards, Finance, Payroll, and benefits teams to validate compensation, bonus, equity, benefits, and deduction data.
• Maintain HR compliance requirements, owners, deadlines, completion status, and supporting documentation.
• Monitor applicable federal, state, and local employment requirements and coordinate operational updates to systems, processes, records, and communications.
• Coordinate labor-law posting requirements and maintain current workplace postings across applicable locations.
• Support internal and external audits and required submissions, including IT SOX controls and EEO-1 reporting.
• Partner with Finance and Payroll on payroll submissions, compensation data, benefits spending, financial reconciliation, and HRIS data alignment.
• Collaborate with Legal on employment documentation, policy compliance, separation procedures, and escalated compliance matters.
• Represent HR Operations across the organization, communicating capabilities, timelines, constraints, and issues to senior stakeholders.
• Lead and develop the HR operations team by setting expectations, providing feedback, and maintaining high standards of service and accountability.

Requirements

• Bachelor's degree in Human Resources, Business Administration, or a related field.
• 8+ years of progressive HR operations experience demonstrating Senior Manager-level scope and impact.
• 8+ years of hands-on HRIS experience with platforms such as UKG, ADP, Workday, or similar systems.
• Strong experience with HRIS administration, user management, data management, reporting, troubleshooting, integrations, and system controls.
• 8+ years of experience managing HR operations functions, including process execution, compliance, and team coordination.
• Demonstrated experience designing, implementing, and optimizing HR operations processes and measuring their effectiveness.
• Solid working knowledge of payroll coordination, benefits administration, and compensation data management.
• Experience producing accurate HR reports, dashboards, and workforce analytics and interpreting trends to support decisions.
• Demonstrated people-management experience, including setting expectations, coaching, providing feedback, and holding team members accountable.
• Experience working in matrixed or highly cross-functional environments with multiple stakeholders and competing priorities.
• Strong knowledge of HR operations, benefits, payroll coordination, employment law, and employee lifecycle processes.
• Technical proficiency with HRIS platforms, data systems, reporting tools, and Excel.
• Strong problem-solving skills, with the ability to identify root causes and implement practical operational solutions.
• Excellent written and verbal communication skills, including the ability to explain complex HR and systems topics to non-technical audiences.
• Strong organizational and project-management abilities, with exceptional attention to detail and the ability to manage multiple deadlines.
• Collaborative approach with the ability to build relationships and influence outcomes across functions.
• High level of discretion and confidentiality when handling sensitive employee, compensation, and HR information.
• Ability to work in the United States without requiring work visa or residency sponsorship.
