As an Order Management Specialist, you’ll help support a smooth customer experience by coordinating orders from entry through shipment, partnering with internal teams, and keeping customers informed along the way. This is a role for someone who enjoys balancing detail, communication, and follow‑through — and who takes pride in getting things done the right way. You don’t need to be a highly senior expert to succeed here. This is an excellent opportunity for someone earlier in their career or building on a few years of related experience in customer service, order support, operations, or a similar business environment. You’ll join a close‑knit team that works collaboratively, supports one another, and offers meaningful exposure to other parts of the business. The ideal person is organized, responsive, customer‑minded, willing to learn, and comfortable working through questions or challenges with a team‑oriented approach. Responsibilities Customer, Channel Partner & Distributor Support Act as key liaison between assigned Channel Partners and operations to ensure timely delivery of goods. Develop and cultivate effective relationships with key accounts/distribution partners. Manage customer expectations by clearly communicating commitments, including delivery dates and problem resolution, while keeping customers informed of order status, issues, and updates. Execute daily tasks and customer responses with a sense of ownership and urgency. Provide support and training to distributors on order entry application. Order Management & Fulfillment Manage customer orders from placement to invoicing through multiple channels, including phone, fax, EDI, email, and websites to ensure 100% customer satisfaction. Manage Sales Order bookings/backlog in relation to dates, holds, quotes, and P.O. errors. Coordinate cancellation requests with supplier/customer to avoid discrepancies or excess inventory. Systems, Tools & Process Execution Provide high‑quality service through efficient use of all Oracle/CRM functionalities related to order fulfillment and customer activity. Identify improvements by using IR Lean tools and methodology through MDI, 9‑steps, and RIEs. Cross‑Functional Leadership Demonstrated ability to lead cross‑functional projects and people without direct authority. Requirements High school diploma or GED 2+ years of experience working in a customer‑facing role that involves responsiveness, follow‑through, and strong communication skills. 1+ year of experience regularly using an ERP, CRM system or similar system as part of daily work responsibilities. 1+ year of experience using Microsoft Office products as a regular part of daily work responsibilities. Ownership & Follow‑Through – Takes responsibility for daily tasks, customer responses, and order issues with urgency, accountability, and reliable follow‑up. Organization & Prioritization – Able to manage multiple orders, requests, deadlines, and customer needs while keeping details accurate and work moving. Attention to Detail – Maintains accuracy when working with order entry, purchase orders, dates, holds, quotes, account details, and system transactions. Resourceful Problem Solving – Uses available tools, notes, systems, documentation, and team resources to work through questions and resolve issues effectively. Team Collaboration – Works well with operations, sales, finance, suppliers, distributors, and internal partners to support order flow and customer commitments. Preferences Education & Experience: Associate’s or bachelor’s degree; however, relevant experience, customer focus, communication skills, and ability to learn are more important than formal education. Bringing prior experience in order management, order fulfillment, distribution support, or related business support environment preferred. Systems & Tools: Experience with Oracle, SAP, Salesforce, or similar platforms is especially valued. Order & Account Support: Experience supporting order entry, order fulfillment, shipment coordination, invoicing, backlog management, customer account activity, purchase orders, holds, quotes, pricing, payment terms, or order discrepancies. Customer, Distributor & Channel Support: Experience supporting customers, distributors, channel partners, key accounts, or customer‑facing operations. Finance Exposure: Background in a coordinator role as accounts receivable, accounts payable, billing, invoicing, or finance‑related support work is a plus. Travel and Work Arrangements This role is based on site in Campbellsville, KY in a manufacturing facility. The office space is located on the second floor and is accessible by stairs; the building does not currently have elevator access.
