Overview The Writer / Policy & Media Coordinator is responsible for creating, editing, and maintaining company documentation, operational procedures, handbooks, policies, social media written content, and internal communications for Jake Sales. This position plays a key role in ensuring all written material across the company is professional, accurate, clearly structured, and aligned with company standards and branding. This role supports multiple departments including warehouse operations, management, HR, customer service, marketing, and e-commerce operations. The ideal candidate is highly organized, detail-oriented, professional in communication, and capable of managing multiple writing projects simultaneously. Primary Responsibilities Policy & Procedure Development Write, revise, and maintain company SOPs (Standard Operating Procedures) Develop and update employee handbooks, safety manuals, and training documents Create operational documentation for warehouse, shipping, FBA, DTC, customer service, and office procedures Ensure documentation remains organized, accurate, and up to date Edit existing company documents for clarity, professionalism, grammar, and consistency Work directly with management to gather operational information and convert it into written procedures Internal Documentation & Communication Draft internal company memos, announcements, disciplinary documentation, and training materials Assist leadership with professional written communication Maintain formatting standards across all company documentation Organize digital documentation systems and ensure proper version control Social Media & Marketing Writing Write captions, ad copy, promotional content, and social media text Assist in planning and organizing content calendars Write customer-facing messaging for e-commerce and marketing campaigns Help maintain brand voice across social platforms and public communications Assist with product descriptions, website content, and promotional material Editing & Quality Control Review written material for spelling, grammar, formatting, accuracy, and professionalism Ensure policies and procedures are easy to follow and operationally accurate Verify consistency between company standards and published documentation Assist in maintaining a professional public image through accurate communication Required Skills & Qualifications Strong professional writing and editing ability Excellent grammar, spelling, and communication skills Strong organizational and time management skills Ability to work independently with minimal supervision Ability to handle confidential company information professionally Experience with Microsoft Office, Google Docs, Apple Pages, or similar software Ability to understand operational workflows and convert them into clear written instructions Strong attention to detail and formatting consistency Maintain accurate monthly accruals for expenses, liabilities, payroll, commissions, freight, inventory adjustments, and other financial obligations not yet invoiced or paid. Prepare and record month-end and year-end journal entries related to accruals and prepaid expenses. Review financial activity to identify expenses that should be accrued to ensure accurate financial reporting and period matching. Develop and maintain forecasting models for: Revenue Gross Profit Operating Expenses Payroll Expenses Inventory Purchases Cash Flow Provide monthly and quarterly forecasts comparing actual results against budget and prior forecasts. Identify financial risks, cost overruns, cash flow concerns, and profitability trends before they materially impact operations. Work with leadership to develop annual budgets and monitor performance against established financial targets. Provide recommendations to improve forecasting accuracy, cost controls, and overall financial visibility. Ensure accruals and forecasts accurately reflect business activity across Amazon (FBA), Shopify (DTC), eBay, warehouse operations, and other company revenue channels.
