Position Summary

The Department of Microbiology and Immunology in the Jacobs School of Medicine and Biomedical Sciences, University at Buffalo, is seeking a Staff Assistant to provide administrative support to our Chair, Senior Staff Assistant, and faculty.

Responsibilities include, but are not limited to:

Managing Departmental Seminar Series including updating the calendar, creating seminar notices, arranging airfare and hotel accommodations, submitting catering orders, processing non-employee reimbursements, and submitting honorarium paperwork
Submitting new and renewal visa paperwork for Department personnel
Maintaining detailed account reconciliations for startup funds including order approvals and Procurement Card purchases
Preparing blanket orders and ordering office supplies
Assisting with annual student awards
Maintaining Department records including the website, directory, listservs, and HR files
Managing the Department's asset inventory
Coordinating the JSMBS space survey
Collecting course evaluations and yearly teaching reports
Scheduling and collecting annual reviews
Package and university mail pickups
Submitting room reservations, building access requests, and various facilities forms

Minimum Qualifications

Bachelor's degree OR Associate Degree with 3 years of related experience
Excellent oral, written, and interpersonal skills
Proficiency with Microsoft Office 365 products
Ability to work both independently and collaboratively
Capable of effectively managing competing priorities
Strong organizational and problem-solving skills

Preferred Qualifications

Experience with administrative support at an academic institution
Knowledge of UB Administrative policies and management systems (e.g., SIRI , ePTF, ShopBlue, Concur)

Salary Range
$51,261 - $56,261
