Overview Research & Finance Analyst, School of Medicine, Stanford, California, United States. Finance role supporting the Adolescent Medicine and Developmental-Behavioral Pediatrics divisions. Responsibilities Financial Stewardship: Ensure fiscal integrity for sponsored awards, service agreements, endowments, gifts, and other funds by executing monthly reconciliations and fund balance reviews. Data Analysis: Extract and synthesize large datasets from Oracle, OBI, SeRA, and Tableau; perform forecasting, expenditure projections, and fund balance estimations to identify deficits or unspent funds needing re-forecasting. Labor & Effort Management: Analyze labor distributions and adjust in Oracle; monitor faculty and staff effort to ensure total FTE aligns with sponsor salary caps and institutional limits. Strategic Advising: Partner with faculty and staff to translate financial data into long-term strategic roadmaps; guide faculty through submission and reporting workflows. Pre-Award Support: Co-develop complex multi-year budgets with PIs; facilitate forms (PIF/PDRF, PI waivers, subaward documents); review RFPs for constraints on salary caps, cost-sharing, and unallowable costs. Compliance: Research, interpret, and track evolving compliance guidelines and sponsor system updates (e.g., NIH SciENcv requirements). Process Innovation: Lead transition toward automated, scalable OBI and Oracle reporting; evaluate operations and implement streamlined workflows. Required Qualifications Substantial experience in the full lifecycle of research finance (pre-award and post-award). Fluency in federal regulations, accounting principles, and financial information systems. Proven ability to manage general divisional financials and confidential personnel data with integrity. Desired Qualifications Experience in pre-award (proposal development, budget justification, RFP analysis) and post-award (reconciliation, forecasting, interim reporting, closeouts), preferably in an academic medical center or complex non-profit environment. Experience managing funds portfolios (sponsored awards, service agreements, endowments, gifts, unrestricted funds) with attention to restricted vs. unrestricted rules. Proficiency in ERP and research tools (Oracle Financials, OBI, SeRA, Tableau) and cross-platform data mapping for complex reporting. Advanced Excel skills (pivots, VLOOKUPs, macros) for ad-hoc analysis. Expertise in labor distributions and NIH salary caps. Strong internal controls and audit-ready documentation practices. Experience managing the procure-to-pay cycle (PCard/TCard, reimbursements, honoraria, iJournals) and ensuring compliance with standards. Ability to present complex financial metrics clearly to Division Chiefs, PIs, and leadership. Interpersonal skills to liaison with faculty, RMG, OSR, ORA, and departmental administrators. Proficiency navigating sponsor portals and compliance platforms (eRA Commons, SciENcv, GrantVantage) and guiding faculty through submission workflows. Bachelor’s degree in Accounting, Finance, Business Administration, or related field (Master’s or CRA certification a plus). Education & Experience (required) Bachelor’s degree and four years of relevant experience or a combination of education and relevant experience. Knowledge, Skills And Abilities (required) Advanced proficiency in business applications (Microsoft Office, especially Excel). Knowledge of financial systems; internet and computer literacy. Knowledge of GAAP. Strong communication skills for preparing materials and communicating with internal and external audiences.
