Position Overview

The Registered Nurse / Nurse Case Manager supports employee health, wellness, absence management, and return-to-work programs within an Employee Wellness Center. This role independently manages a high volume of employee medical absence and leave cases, including sick absences, FMLA, maternity leave, disability, catastrophic leave, and return-to-work activities, while applying sound clinical judgment and maintaining confidentiality. The Nurse Case Manager also reviews medical documentation, coordinates with employees and healthcare providers, supports fitness-for-duty evaluations, and collaborates with Human Resources, management, payroll, union representatives, and other stakeholders. Success in this role requires strong nursing judgment, independence, accountability, reliable attendance, attention to detail, and the ability to make timely, well-supported decisions in a fast-paced environment.

Job Responsibilities

• Monitor, review, and manage employee sick absences and medical leave cases.
• Administer and coordinate FMLA cases for employees and qualifying family members.
• Coordinate maternity leave, short-term disability, long-term disability, catastrophic leave, and other medical absence cases.
• Review medical documentation, records, and charts to evaluate employee health-related absence cases.
• Apply clinical judgment when evaluating medical information and determining appropriate case-management actions.
• Prepare accurate case narratives and documentation based on medical records and available information.
• Evaluate when a fitness-for-duty examination may be appropriate based on medical information and job requirements.
• Coordinate with employees and healthcare professionals to obtain and review relevant medical information.
• Coordinate return-to-work activities following medical absences.
• Support sick-pay approvals and related absence documentation.
• Review and process applicable FMLA and Department of Labor documentation.
• Serve as a resource to employees regarding medical leave, absence, disability, and return-to-work matters.
• Collaborate with Human Resources, management, payroll, union representatives, healthcare providers, and external partners.
• Communicate case information appropriately while protecting confidential employee medical information.
• Support the interpretation and application of applicable leave and absence requirements.
• Maintain accurate, timely, and complete case documentation.
• Manage multiple cases and competing priorities while meeting deadlines and maintaining quality.
• Support day-to-day Employee Wellness Center operations as needed.
• Respond to medical emergencies at designated company locations when required.
• Support mobile medical operations and medical supply management as needed.
• Participate in designated emergency response assignments when required.
• Travel within the service area only as needed to support emergency response or business operations.
• Work collaboratively with other Nurse Case Managers and contribute to a team-oriented environment.
• Participate in training, coaching, and ongoing process improvement activities.

Job Requirements

• Active Registered Nurse (RN) license in New York State.
• 2+ years of relevant clinical, case management, occupational health, employee health, disability management, leave management, or related nursing experience preferred.
• Experience applying clinical judgment independently to complex cases.
• Experience reviewing medical documentation and making appropriate clinical or case-management recommendations.
• Knowledge of FMLA and employee leave requirements strongly preferred.
• Strong ability to manage a high volume of cases while maintaining accuracy, urgency, and attention to detail.
• Ability to work independently with minimal supervision and take ownership of assigned cases.
• Strong decision-making, problem-solving, and investigative skills.
• Strong written and verbal communication skills.
• Ability to communicate professionally with employees, management, Human Resources, healthcare providers, payroll, union representatives, and other stakeholders.
• Strong organizational and case-management skills.
• Ability to maintain strict confidentiality when handling employee medical and personal information.
• Proficiency with standard computer applications, including word processing, spreadsheets, internet-based applications, and electronic medical or case-management systems.
• Knowledge of ICD-10 codes is preferred.
• Experience working with a union employee population is preferred.
• Leadership or experience taking ownership of complex nursing or case-management responsibilities is preferred.
• Experience in occupational health, employee wellness, disability management, workers' compensation, or return-to-work case management is preferred.
• Experience with employee cases where clinical decisions may affect pay or benefits is preferred.
• Candidates must demonstrate a reliable and consistent work history and attendance record.
• Ability and willingness to complete the initial onsite training period and maintain the required hybrid schedule after training.
• Valid driver's license required.

Education

• Associate's Degree in Nursing (ADN) with at least 4 years of relevant experience, or
• Bachelor of Science in Nursing (BSN) with at least 2 years of relevant experience.

Work Experience

• Prior experience as a Registered Nurse in a clinical, case management, occupational health, employee health, disability management, or related setting.
• Nurse case management experience is strongly preferred.
• Experience with FMLA, leave of absence, disability, return-to-work, or employee absence management is strongly preferred.
• Experience in a corporate, occupational health, or employee wellness environment is preferred.
• Experience working with union employees is preferred.
• Candidates with primarily elder care or nursing home experience may require additional transition and training to adapt to the employee case-management environment.

Additional Job Details (Commute, Attendance, etc.)

• Initial training is expected to last approximately 2-3 weeks and requires the selected candidate to work onsite five days per week.
• After successful completion of training and demonstration of independent performance, the position will transition to a hybrid schedule with three days onsite and two days remote per week.
• Wednesday is an expected onsite day.
• Some flexibility in start time may be available based on business needs.
• No regular travel is required.
• Emergency response responsibilities may occasionally require work outside standard business hours, including nights, weekends, or holidays.
• Reliable attendance and consistent availability are essential due to the volume and time-sensitive nature of employee cases.
• The initial contract period is approximately six months, with the potential for a longer-term opportunity based on performance and business needs.
• This is an individual contributor position that works collaboratively with a team of Nurse Case Managers.
