This position is part of a small group focused on SPE’s registration for the Americas office events, as well as an integral part of an interdepartmental event team including events, exhibits, finance and marketing. THE OPPORTUNITY This specialist position supports meetings, workshops and forums and registration processes for all offices. The Specialist is also responsible for testing and implementation of any new functions in the internal registration software and may be required to work with third party vendors for registration. THE IMPACT YOU WILL MAKE IN THIS ROLE Manage event setup and testing in the registration software for North American and Latin American meetings, workshops and forums Review marketing materials and update event manager as appropriate for Registration information Process all registrations – includes forms received by email including requests for invoices and visa invitation letters Onsite support of meeting registration as required Train new users on the registration software in the test environment and introduce to all registration staff any new functions or changes in processes Test any updates required by IT for integrations, upgrades or other requests related to the registration software Balance financials at the end of the event and work with Finance to ensure export to the financial software is correct Process and adjust any cancellations/transfers/refunds/chargebacks Requirements YOUR SKILLS AND EXPERTISE Bachelor’s degree required, or equivalent combination of education and experience Excellent client relationship skills – very comfortable speaking and communicating with members and conference attendees Proficient in data management systems – any registration system is a plus Momentus/USI/EBMSsoftwareknowledge preferred. Very comfortable working in Windows environment including MS Word, PowerPoint, Outlook and Teams Adept working within Excel spreadsheets Basic invoicing knowledge is a plus Attention to detail is a must – ensuring that attendees are assigned to correct conferences as an example Must be flexible and able to switch gears, moving from one system to another, accommodating different types of events ADDITIONAL ATTRIBUTES FOR SUCCESS IN THIS ROLE Goodcommunicationskills(oraland written) Bilingual English/Spanish is a plus Abilitytobalancemultiple projects, work at a fast pace and meetscheduled deadlines Self-Motivated, able to work independently Organized with excellent follow-through skills Professional persona with ability to establish strong clientrelationship Volunteer and/or non-profit experience preferred Backgroundinoilandgasindustry preferred Willingness to work overtime, as required Ability to travel approximately 25-30% of the time ( mostly domestic – typically Houston area) 5-7 times annually for events.
