Banquet Captain

Essential Duties and Responsibilities

• Anticipate guests' needs, respond promptly and acknowledge all guests; own the guest request and follow it through until completed
• Monitor and maintain cleanliness, sanitation and organization of assigned work areas
• Organize and maintain the back of the house areas to ensure a productive, safe and energy conserving work environment; instruct designated associates to rectify any cleanliness/hotel deficiencies
• Orchestrate banquet functions adhering to service standards as set forth by Hotel Monteleone's Banquet Standards of Procedure
• Maintain par levels for supplies and equipment; complete requisitions to replenish shortages or additional items needed for the anticipated of business
• Requisition linen/skirting required for business and assign staff to transport such to the appropriate storage areas
• Prepare weekly work schedules in accordance with staffing guidelines and labor forecasts; adjust schedules throughout the week to meet the business demands
• Interview, hire, train, recommend performance evaluations, resolve problems, provide open communication and recommend discipline including termination when appropriate
• Enter billing information into point of sale/automated sales system in order to generate a final guest check. Post all banquet checks at end of day and turn in to Night Audit. Assist processing payroll for each event which includes calculating number of shifts worked and gratuity distribution.
• Work in tandem with inter-related departments to insure a positive guest experience
• Partake and be a positive influence in the monthly departmental meetings and weekly banquet meeting to provide a regular forum for improving departmental communication
• Review posting information on Janus Board daily to insure information had been posted properly and report changes as necessary
• Assist meeting planners/event contacts with organizing meeting rooms to include, ensuring packages are shipped/received, placement of signage, photo copies, directions for attendees, etc.
• Present banquet checks to meeting planners for signature. Forward signed checks to the Credit Manager to be filed
• Confirm next day's arrangements with meeting planner/event contact and communicate changes and additions as required insuring that the assigned Conference Services Manager is kept informed
• Attend BEO meeting to review requirements and make changes as discussed for upcoming events
• Insure meeting and banquet rooms are inspected each morning and meeting room inspection form completed and forwarded based upon a pre-determined distribution list to insure that all function rooms are inspected
• Report any cleanliness and maintenance issues which arise on a daily basis to the required department and follow-up for completion
• Insure function rooms are prepared for site inspections by opening doors, turning on lights, inspecting for cleanliness and assisting the Sales Manager as requested. Information will be communicated on the weekly site inspection itinerary
• Comply with attendance rules and be available to work on a regular basis
• Perform any other job related duties as assigned
• Maintain complete knowledge of:
• In-house group profiles and scheduled activities
• Correct maintenance and use of equipment
• Particular characteristics/descriptions of available wines/champagnes
• Menu selections, quality standards and methods of presentation
• Hotel services and facilities
• State liquor regulations, particularly those prohibiting service to minors and intoxicated persons
