Team Lead Insurance Authorization Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Team Lead Insurance Authorization Specialist based in United States.
This role provides day-to-day leadership for an insurance authorization team responsible for securing required prior authorizations in a timely and accurate manner. You will serve as a key point of contact for authorization-related questions while helping ensure efficient workflows and high-quality outcomes. The position combines hands-on insurance authorization work with team leadership, coaching, workload coordination, and performance oversight. You will partner with authorization leadership and denials management teams to identify trends, resolve issues, and improve processes that can reduce denials and support revenue. The role also involves collaborating with clinical teams on urgent cases and ensuring authorization requirements are met before services are provided. Success requires strong organization, attention to detail, communication skills, and the ability to manage a high-volume environment. This is a full-time, remote opportunity with a 40-hour workweek.
Accountabilities:
- Serve as the initial point of contact for questions and issues related to insurance authorization activities, supporting team members with day-to-day problem solving.
- Oversee daily operations and allocate workload among team members based on volume, priorities, deadlines, and operational needs.
- Ensure patient visits and procedures receive required authorization before services are rendered, and communicate denied services to the appropriate clinical and support teams.
- Review authorization denials, identify trends, and collaborate with leadership to implement process improvements that reduce denials and support revenue optimization.
- Represent the insurance authorization team in relevant departmental meetings and provide recommendations for improving processes and workflows.
- Work closely with department leadership and training personnel to create, update, and maintain current insurance authorization training materials.
- Train, coach, mentor, and support insurance authorization specialists while promoting accuracy, efficiency, and adherence to established guidelines.
- Review team members’ work to ensure accuracy, compliance, and consistency with established authorization requirements and processes.
- Act as a point of contact for clinical nursing teams to help resolve urgent or complex authorization cases.
- Listen to team feedback, address concerns and conflicts, and escalate significant issues to leadership when appropriate.
- Establish clear team goals, delegate responsibilities, set deadlines, and monitor performance against established expectations.
- Track team performance and report relevant metrics and operational trends to department leadership.
- Foster an open, collaborative, and motivating team environment while recognizing strong performance and encouraging creativity and efficiency.
- Support team engagement through activities and initiatives that strengthen collaboration and morale.
Requirements:
- You have a high school diploma or equivalent and 3–4 years of experience working in a medical environment such as a hospital, physician office, or ambulatory clinic, or an Associate’s degree with at least 2 years of relevant medical-environment experience.
- You have 3–4 years of experience with medical terminology and preferably possess knowledge of ICD-10 and CPT coding.
- You understand insurance authorization processes, insurance guidelines, and third-party payer practices.
- You are proficient with Microsoft Office applications and possess solid basic computer skills.
- You have excellent written and verbal communication skills and are comfortable working effectively with colleagues, clinical teams, and leadership.
- You can prioritize competing responsibilities, manage a high volume of work, meet deadlines, and maintain a high level of efficiency and attention to detail.
- You are capable of directing others’ activities efficiently while managing multiple tasks simultaneously.
- You can follow written and verbal instructions and apply established procedures consistently.
- You demonstrate strong interpersonal skills, sound judgment, and the ability to resolve team concerns and operational issues constructively.
- You are comfortable working in a fast-paced environment where clinical staff may require immediate attention and priorities can change quickly.
- You can remain focused while sitting for extended periods and are comfortable using keyboards, telephones, fax machines, headsets, and other business equipment for extended periods.
