This role provides operational leadership support to ambulatory access scheduling teams and serves as a senior subject matter expert for referral processing, new patient scheduling, and access workflows. You will help ensure consistent scheduling practices and a reliable experience for patients, providers, and internal teams. The position combines workflow expertise, staff development, quality review, operational coordination, and customer service. You will partner with department leadership and clinic teams to support training, workflow changes, and operational readiness. The role also analyzes performance and operational data, identifies process gaps, and recommends improvements. During high-volume periods or staffing challenges, you may provide direct operational support to help maintain service levels and workflow stability. \n

Accountabilities:

Maintain advanced knowledge of referral processing workflows and clinic scheduling matrices used to determine appropriate pathways for new patients. Share workflow expertise and communicate updates to scheduling teams, supporting staff with referral requirements, scheduling protocols, and clinic access guidelines. Prepare and maintain documentation, reference materials, and guidelines related to referral processing and scheduling workflows, and provide targeted training and operational guidance. Conduct quality reviews of referral processing and scheduling accuracy, communicate findings to leadership, and ensure identified corrections are completed and documented. Maintain competency in scheduling and referral workflows and provide direct operational support during periods of high demand when needed. Coordinate with employment supervisors on new employee checklists, required training, and system access, while partnering with department trainers to provide onboarding and department-specific training. Provide leadership with input on staff performance trends, workflow challenges, and training needs, while offering non-disciplinary coaching and assisting employees with problem identification and resolution. Provide operational coverage when necessary to maintain adequate staffing and meet departmental service expectations. Communicate applicable policies, procedures, and performance expectations while recommending workflow and operational improvements to department leadership. Support administrative coordination, maintain departmental resources and documentation, and participate in operational improvement initiatives and implementation of new workflows or process updates. Deliver professional and responsive customer service to patients, referring providers, clinics, and internal partners through clear written and verbal communication. Support escalations and complex patient access issues, participate flexibly in phone or referral processing coverage during staffing shortages or high-volume periods, and model department service standards. Requirements:

At least two years of front-line clerical experience in a clinical setting involving direct patient contact, including appointment scheduling and, where applicable, managed care authorization experience. Previous experience with patient access or PAS workflows is preferred, particularly experience with relevant policies, procedures, training, and core competencies. At least two years of experience with an Epic Referral system and scheduling patients from referrals is preferred. Demonstrated reliability, including strong attendance, punctuality, and a history of successful performance. Strong written and verbal communication skills, with the ability to communicate effectively with patients, providers, colleagues, and leadership. Ability to work independently while collaborating effectively with a broader scheduling and clinical operations team. Strong organizational and problem-solving skills, with the ability to manage multiple priorities in a high-volume environment. Willingness and ability to serve as a positive, professional role model and provide constructive, non-disciplinary support to colleagues. Ability to work in a shared office environment, multitask effectively, and spend extended periods using a telephone and computer. Benefits:
