Firm Support Specialist 1

Overview Firm Support Services at Forvis Mazars keep the firm running smoothly by delivering essential administrative support. Their work ensures operational efficiency, allowing teams to focus on their core goals. By maintaining a professional, well-organized environment, they play a key role in advancing the firm's mission and success. Responsibilities Provide support for Partners and Managing Directors to schedule internal meetings, travel logistics and handle correspondence. Oversee day-to-day office operations such as maintaining office supplies, equipment and facilities. Handle all aspects of incoming and outgoing mail and packages. Help keep break rooms presentable by making coffee, restocking coffee supplies and loading/unloading dishwashers, as well as other tasks, as needed. Handle incoming phone calls for multiple offices and related switchboard tasks with lasting, positive impression of the Firm. Greet guests with lasting, positive impressions of the Firm. Perform all aspects of facilities support. Ensure a clean, organized and efficient office environment. Assist with planning and execution of local events, meetings, and/or conferences. Ordering business cards, name badges, and other office supplies specifically for each new employee. Serve as a central point of contact for internal and external inquiries and routing them to the appropriate individuals. When needed, finalize documents in an electronic format such as pdf document or word document and proper filing/organization of those documents. When needed, print documentation and bind for client delivery. Complete special projects as assigned. Minimum Qualifications High school diploma or equivalent Proficient in Microsoft Office Suite. Demonstrated ability to achieve and maintain high quality in work, client relations, and team relations. Ability to meet established deadlines, ensuring that work is complete and accurate. Ability to perform several tasks concurrently with ease and professionalism. Delivery of excellent quality of work, work timeliness, and quantity of work.
