Job Description

We are seeking an organized, detail-oriented QuickBooks Bookkeeper & Personal Assistant to keep our administrative financial operations running smoothly and support business leadership.

This hybrid position is ideal for an experienced bookkeeper who is also comfortable wearing an administrative "executive assistant" hat. You will manage the company’s day-to-day books and assist the owner with personal/administrative tasks.

Work Arrangement: Mostly remote, with one required half-day per week on-site in Sussex County, DE to handle physical filing, document coding, mail pickup, and office management.

Key Responsibilities:

Bookkeeping & Financials:

QuickBooks Management: Daily maintaining and reconciling accounts in QuickBooks Desktop Pro .
Accounts Payable & Receivable: Process subcontractor payments, vendor bills, client invoicing, and balance tracking.
Job Costing & Coding: Accurately code receipts, purchases, expenses, and project invoices to ensure clean financial reporting per project.
Payroll & Expenses: Assist with payroll preparation, tracking employee/contractor hours, and reconciling credit card statements.
Reporting: Generate basic monthly financial statements (Profit & Loss, Balance Sheet) for management review.

Personal Assistant & Office Support:

Weekly On-Site Office Day: Spend one half-day in the office per week sorting mail, filing physical records, scanning job files, and organizing the office.
Executive Support: Assist the business owner with administrative schedules, vendor follow-ups, minor personal errands, and task coordination.
Subcontractor & Vendor Coordination: Request, track, and file certificates of insurance (COIs), W-9 forms, and compliance documents.
General Administration: Answer high-priority emails or phone queries, assist with client scheduling, and organize electronic filing systems (Google Drive/Dropbox).

Ideal Qualifications & Requirements:

QuickBooks Expertise: Proven experience using QuickBooks Desktop Pro (required).
Construction/Trades Experience: Background in bookkeeping for home improvement, construction, or general contracting businesses is highly preferred .
Tech-Savvy: Comfortable with cloud file storage, digital calendars, email, and basic spreadsheet software.
Organization: Exceptional attention to detail, accuracy, and organizational skills.
Reliability & Confidentiality: High level of trustworthiness handling sensitive financial data and personal assistant duties.
Location & Transportation: Must live within commuting distance of Sussex County, DE for the required weekly half-day on-site.
